Job Summary: The Data Entry / Back Office Executive is responsible for supporting the day-to-day operations of the office by managing administrative tasks and ensuring accurate and timely data entry. This role plays a critical part in maintaining organized and efficient office functions, supporting internal teams, and ensuring all office and documentation processes run smoothly. Ideal candidates should be well-organized, detail-oriented, have strong typing and computer skills, and be comfortable handling basic office duties such as answering phones, filing, and scheduling. This position is suitable for individuals who enjoy behind-the-scenes work, are good at managing data, and are keen on keeping things organized and up-to-date.Key Responsibilities:1. Data Entry & Documentation: Enter data accurately into databases, spreadsheets, or customized software systems. Maintain and update records such as customer data, inventory logs, attendance registers, invoices, and internal documents. Verify and cross-check data for errors or inconsistencies before submission or record-keeping. Organize and archive paper and digital documents in a structured and secure manner. 2. Administrative and Office Support: Handle daily clerical tasks including printing, photocopying, scanning, and mailing. Manage physical and digital filing systems to ensure information is easy to retrieve. Assist in the preparation of reports, forms, and other documents as needed by various departments. Maintain logs of incoming and outgoing correspondence and documents. 3. Reception and Communication: Answer and redirect incoming phone calls professionally and take messages when required. Greet visitors, clients, or vendors and direct them to the appropriate person or department. Coordinate communication between departments, vendors, and clients to ensure smooth workflow. 4. Meeting and Schedule Management: Help schedule and coordinate meetings, appointments, and conference calls. Send reminders to concerned staff and ensure meeting materials (e.g., printouts, agendas) are prepared. Maintain calendars for managers or departments and ensure no scheduling conflicts occur. 5. Office Supplies and Facility Coordination: Keep track of inventory for office supplies and place orders when stock is low. Coordinate with vendors for stationery, equipment maintenance, and housekeeping services. Report any maintenance or IT-related issues to the concerned department or technician. 6. Support for Other Departments: Assist finance or accounts team with invoice entry, bill checking, or petty cash documentation. Support HR with attendance sheets, onboarding documents, or employee data filing.
