We are seeking a highly experienced and proactive Team Lead to oversee our Corporate Secretarial (CS) operations. The ideal candidate will be a dynamic leader responsible for managing all day-to-day tasks, ensuring timely and high-quality client deliverables, and driving operational excellence. You will play a pivotal role in leading your team, mentoring junior members, and implementing process improvements to enhance efficiency and maintain regulatory compliance.
Key Responsibilities
- Leadership and Operations Management:
- Lead all day-to-day corporate secretarial operations for various clients in foreign jurisdictions.
- Lead new client onboarding, including database setup, training, and task implementation.
- Develop and implement monthly work plans, overseeing daily operations and ensuring timely client deliverables.
- Lead critical processes such as conducting board meetings, minute drafting, and statutory filings with your team's support.
- Process Improvement and Quality Control:
- Identify and resolve process inefficiencies, driving operational improvements and actively participating in lean meetings.
- Ensure regulatory compliance, maintain process hygiene, and standardize workflows.
- Track and analyze errors, implement corrective actions, and enhance quality control measures.
- Support automation initiatives and integrate new systems like Diligent, RSR, and TIBCO.
- Team Development and Mentorship:
- Train, mentor, and guide team members, ensuring fair work distribution and effective query resolution.
- Conduct cross-training and internal sessions to build a skilled and adaptable team.
- Review deliverables, provide feedback, and uphold quality and service standards.
- Assist in the recruitment, onboarding, and resource alignment for new hires.
About You
- Experience: A professional with extensive experience as a Company Secretary or semi-qualified Company Secretary with significant work experience in a similar industry or department.
- Education: A Law degree is preferred.
- Skills and Attributes:
- Fluent in English (written and spoken).
- A flexible, proactive, and detail-oriented team player with excellent communication skills.
- Systems Proficiency:
- You can manage system updates in Oracle and Viewpoint.
- You are capable of conducting spot checks to ensure data accuracy and time-recording compliance.
