Job Summary: We are looking for an experienced and responsible Warehouse Manager to oversee the efficient receipt, storage, and dispatch of a wide range of goods. The ideal candidate will be responsible for managing the daily operations of the warehouse or godown, ensuring that all inventory processes are followed accurately, and stock levels are maintained as per the requirements. The role includes end-to-end inventory management, barcoding, invoicing, and the coordination of staff, labourers (hamalis), transporters, and vendors.Key Responsibilities:1. Godown and Warehouse Operations Management Supervise and monitor the overall functioning of the godown/warehouse including layout planning, cleanliness, safety, and space utilization. Ensure proper stacking, segregation, and labeling of goods in the designated racks or locations. Monitor storage conditions to ensure goods are stored in compliance with product-specific guidelines (e.g., perishable, fragile, heavy goods). Implement procedures to maintain the physical and systemic integrity of the warehouse. Ensure fire safety, pest control, and all other safety measures are in place and followed by the team.2. Inventory Management Maintain accurate inventory records for all inward and outward goods using inventory management software or ERP systems. Conduct daily, weekly, and monthly physical stock checks and reconcile with system stock. Implement FIFO (First In First Out) or FEFO (First Expiry First Out) inventory movement practices based on the product type. Monitor and maintain minimum order levels (reorder points) to prevent stockouts or overstocking. Prepare regular reports on inventory turnover, wastage, obsolete stock, and movement trends.3. Inward and Outward Management Ensure smooth and timely receipt of goods from vendors and suppliers; verify quantity and quality against delivery notes or invoices. Supervise unloading, inspection, and proper placement of goods in the godown. Oversee picking, packing, and dispatch of orders based on sales or production requirements. Maintain detailed records of goods inward and outward for audit and reporting purposes. Liaise with procurement and sales teams to ensure synchronization of warehouse activity with order volumes.4. Invoicing and Documentation Prepare and manage accurate and timely invoices, delivery challans, gate passes, GRNs (Goods Receipt Notes), and other supporting documents. Ensure proper documentation for GST compliance and internal controls. Coordinate with the accounts and finance team to provide necessary stock-related inputs and verification. Implement controls to minimize errors or fraudulent transactions in documentation.5. Barcode Management Ensure all products are properly barcoded upon receipt or before dispatch. Manage the generation and printing of barcodes using relevant software or systems. Scan and update the inventory based on barcode data to reduce manual errors and improve traceability. Train staff on barcode scanning devices and troubleshoot issues related to barcode readers.6. Dispatch and Transportation Management Plan and execute daily dispatch schedules in coordination with the sales and logistics team. Select appropriate modes of transportation based on the size, nature, and urgency of the consignment. Coordinate with third-party transporters and ensure timely pickup and delivery of goods. Monitor vehicle loading and ensure proper documentation is provided to drivers. Resolve transportation delays or issues and maintain cost-effective delivery solutions.7. Staff and Hamali Management Supervise a team of warehouse staff including storekeepers, loaders, packers, data entry operators, and hamalis (manual laborers). Allocate daily tasks and ensure efficient manpower utilization. Train staff on warehouse procedures, safety measures, equipment handling, and emergency protocols. Ensure that hamalis follow proper lifting techniques and are given safety gear as necessary. Manage attendance, leave, productivity, and performance evaluation of warehouse personnel. Handle grievances, disciplinary actions, and motivation strategies to maintain a high-performance culture.8. Compliance and Audit Readiness Maintain compliance with company policies, safety regulations, and legal/statutory requirements related to warehousing and logistics. Prepare the warehouse for internal and external audits and ensure all records are accurate and up to date. Ensure timely disposal or return of expired, damaged, or obsolete stock as per company norms.9. Technology and System Improvements Actively participate in the implementation and maintenance of warehouse management systems (WMS) or ERP. Suggest improvements in operational workflow, automation, or digitization of manual tasks.
