Job Title: Data Management Specialist Job Location: Ahmedabad Job Type: Full-Time Job Timings: 04:00 AM to 01:00 PM The Data Management & Lead Administration Specialist is a critical support function responsible for maintaining the integrity, accuracy, and structure of our core operational and sales data. This role involves meticulous lead processing, contact and company database management, location data mapping, and generating professional reports, ensuring our sales and operations teams have reliable information at all times. Responsibilities: 1. Lead and Account Processing - Lead Allocation: Manage the accurate and timely allocation of incoming sales leads from diverse sources to the appropriate Sales Representatives, strictly adhering to company policy and internal performance metrics. - System Check & Categorization: Verify lead information against internal systems (suppliers/clients) and categorize leads based on their purpose (e.g., supplier inquiry, new client, existing client query). - Account Assignment: Ensure new contacts and companies, upon meeting minimum data requirements, are promptly and accurately assigned to the relevant Account Manager for follow-up. 2. Data Entry, Quality, and Enrichment - Company & Contact Creation: Efficiently process new information received from various sources. Conduct mandatory checks to prevent duplication of contacts, companies, or addresses before entry. - Data Enrichment: Actively identify and source missing information to complete records (e.g., industry classification, full contact details), ensuring a robust and comprehensive database. - Data Quality Control (DQC): Perform continuous DQC to standardize and correct data formats, revise input values, and verify/correct essential fields such as email addresses and phone numbers. - Data Compilation: Collect and compile data from disparate internal and external systems into the primary platform, maintaining consistency across the board. 3. Database Integrity and Location Mapping - Duplicate Lead Filtering: Proactively monitor and filter all data ingestion points (lead sources, bulk uploads, databases) for duplicate entries. Apply a clear flagging system for duplicates requiring manual review and management decision to prevent operational discrepancies. - Location Database Maintenance: Build, verify, and maintain a highly reliable logistics location database, including: - Client warehouse and office addresses. - Third-Party Logistics (3PL) facility locations. - Supplier depot addresses. - Ensure all entries are properly labeled, categorized, and up-to-date within the system. 4. Reporting and System Support - Management Information Systems (MIS) Reporting: Execute finishing work on raw system reports. Transform downloaded data into clear, readable, professional, and presentation-ready formats (e.g., summary tables, charts, filtered spreadsheets) instead of raw data dumps. Qualifications: - Technical Proficiency: Must be an Expert User in the full Microsoft Office Suite, specifically: 1. Microsoft Excel: Advanced proficiency required (pivot tables, VLOOKUP/XLOOKUP, data filtering, conditional formatting). 2. Experience with Word, PowerPoint, Teams, OneDrive, and Outlook. - Data Focus: Exceptional attention to detail, a methodical approach, and a strong commitment to data accuracy and integrity are paramount. - Experience: Proven background in a data entry, back-office, administrative, or similar data management support role, preferably within a fast-paced environment. - Communication: Drafting-level English Communication is required. The candidate must be able to compose clear, professional, and grammatically correct emails for internal communication and essential external data gathering. - Work Ethic: Highly organized, self-motivated, and able to work independently, manage time effectively, and meet deadlines in a remote work setting.
