Key Responsibilities 1. Administrative & Operational Support Perform day-to-day administrative tasks to ensure smooth office operations. Manage schedules, appointments, and official correspondence. Assist various departments with documentation and coordination of tasks. Maintain accurate filing systems for easy data retrieval. 2. Data Management & Record-Keeping Enter, update, and maintain databases, spreadsheets, and company records. Prepare and verify reports, invoices, and purchase orders. Ensure data confidentiality and security while managing sensitive information. Generate performance reports and assist in analyzing business trends. 3. Documentation & Reporting Draft, format, and review official documents for internal and external use. Prepare monthly, quarterly, and annual reports based on operational data. Coordinate with the management team to ensure timely submission of reports. Maintain compliance with company policies and regulatory guidelines. 4. Customer & Client Support Provide support to front-end teams by assisting with client-related documentation. Respond to basic inquiries via email or phone and forward them to relevant departments. Maintain positive relationships with clients by handling back-end requirements effectively. 5. Coordination with Other Departments Work closely with HR, finance, sales, and other internal teams to ensure smooth workflows. Support cross-functional teams by managing inter-departmental communication. Assist managers and executives with project coordination and updates. 6. Technology & System Management Use MS Office, CRM software, and ERP systems for managing operational tasks. Ensure accuracy while handling digital records and reports. Suggest process improvements to enhance productivity and efficiency. Required Skills & Competencies 1. Technical & Computer Skills Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Basic knowledge of data management tools and ERP/CRM systems. Familiarity with digital documentation and reporting techniques. 2. Communication & Interpersonal Skills Excellent verbal and written communication skills. Ability to coordinate effectively with team members and other departments. Professional etiquette and client-handling abilities. 3. Organizational & Time-Management Skills Strong ability to prioritize tasks and manage time efficiently. Detail-oriented approach to ensure accuracy in reports and documentation. Ability to work under pressure and meet tight deadlines. 4. Analytical & Problem-Solving Skills Ability to interpret data and identify potential business issues. Proactive approach to finding solutions and streamlining processes.
