About the Role:- We are seeking a highly organized and proactive Project Coordination Specialist who will directly manage Amazon as a client. This role involves coordinating with Amazon teams, assigning tasks internally to designers, copywriters & operations teams, planning costing for deliverables, and ensuring all timelines are followed smoothly. This position is ideal for someone who excels in structured communication, can handle high-volume projects with precision, and thrives in a fast-moving agency environment. Prior agency experience is a strong advantage. Key responsibilities:- Client Management:- - Act as the main point of contact for the Amazon team—ensuring clarity, alignment, and smooth communication. - Understand Amazon’s requirements thoroughly, including guidelines, formats, and deliverables expected. - Manage approvals, feedback cycles, and frequent project updates with the Amazon stakeholders. Internal Management:- - Break down Amazon's briefs into well-defined tasks and assign them to designers, copywriters, editors, and project teams. - Ensure internal teams have complete clarity on requirements, instructions, and timelines. - Continuously follow up with teams to ensure tasks are progressing as planned. Timeline & Delivery Management:- - Create, monitor, and manage detailed timelines for every deliverable. - Communicate delivery plans to both the internal team and Amazon clients. - Track daily progress, ensure on-time submissions, and highlight any risks or delays in advance. Costing & Documentation:- - Prepare costing sheets, budget breakdowns, and project proposals for Amazon deliverables. - Maintain trackers, status sheets, and complete project documentation for seamless reporting. - Ensure all records are up-to-date, error-free, and aligned with Amazon's requirements. Quality & Process:- - Review internal outputs (design/content) to ensure they match Amazon guidelines before submission. - Maintain smooth revision cycles and structured feedback loops. - Suggest and implement process improvements to increase team efficiency and delivery quality. Requirements:- - Bachelor’s degree in Business Administration, Marketing, Project Management, or related field. - 1–2 years of experience in project coordination or client servicing. - Agency background is strongly preferred due to exposure to multi-team coordination. - Excellent communication, stakeholder-handling, and interpersonal skills. - Strong multitasking ability with great attention to detail. - Proficient in Google Sheets/Excel and project tracking tools. - Ability to manage tight deadlines and deliver high-quality output consistently. - A strong sense of ownership, accountability, and problem-solving approach.
