About the ROle: Omnicom Global Solutions India is seeking a highly organised Creative Services Assistant with a strong finance and operations background to support the smooth running of our creative resource management and financial processes. This role sits at the intersection of operations, finance, and creative project management, ensuring that freelancers, budgets, and internal systems are managed efficiently and effectively. Let us build this, together Responsibilities: Client & Agency Service: Finance & Administration - Support freelancer contract and payment administration in coordination with HR and Finance. - Coordinate freelancer timesheet collection and submission into AX. - Cross-reference invoices against timesheets; resolve accounts payable queries and issues with the Finance Manager. - Ensure accurate records are maintained for budget trackers, supplier information, and resource management - Keep agency databases updated weekly to reflect current resource allocations and project assignments. Operations & Resource Management - Manage IT requests, including system access, extensions, and freelance equipment allocation. - Cross-check and track annual leave and illness across creative resources, updating in Workfront (WF). - Book and maintain internal meetings, project bookings, and schedules within WF. - Run weekly utilisation breakdowns from WF for account leads. - Carry out weekly administration and data clean-up in WF and AX systems. Traffic & Compliance Support - Induct freelancers onto the agency timesheet system and introduce finance processes. - Ensure own understanding of Agency Standard Operating Procedures (SOPs). - Monitor SOP compliance across Creative Services, flag issues, and provide constructive feedback. - Suggest improvements to processes and support colleagues in following correct procedures. Qualifications: This may be the right role for you if you have. - Strong financial administration experience, ideally within a creative, agency, or project-based environment. - Familiarity with timesheet, finance, and resource management systems (AX, Workfront, or similar). - Excellent organisational skills and attention to detail. - Confident communicator, able to liaise effectively across Finance, HR, IT, and Creative teams. - Proactive problem solver with the ability to streamline processes and improve ways of working. Required Competencies. - Highly organised and detail-oriented. - Comfortable working with numbers, budgets, and operational data. - Collaborative and approachable, with a service-oriented mindset. - Able to balance multiple priorities in a fast-paced environment.
