Maintain consistency in tone, language, and information across all written communications. B. Data & Record Management Maintain accurate records of customer interactions, inquiries, and resolutions. Update customer databases and internal systems with relevant information. Prepare daily, weekly, and monthly reports on correspondence activity. C. Coordination with Internal Teams Work closely with sales, operations, logistics, billing, and technical teams to resolve customer issues. Escalate unresolved cases to the appropriate department or supervisor when necessary. Collaborate with quality and training teams to improve customer experience. D. Complaint Handling & Resolution Understand customer concerns and analyze problems to provide appropriate solutions. Ensure complaints are addressed within SLA timelines and company guidelines. Follow up with stakeholders until the issue is completely resolved. E. Quality Assurance Proofread all outgoing correspondence to ensure accuracy, grammar, and professionalism. Adhere to company policies and standard communication templates. Suggest improvements to enhance the efficiency and quality of written communication. 3. Required Skills & Competencies A. Technical Skills Proficiency in MS Office (Word, Excel, Outlook). Experience in CRM software, ticketing systems, and email platforms. Basic knowledge of data entry and record management systems. B. Soft Skills Excellent written communication and grammar skills. Strong attention to detail and accuracy. Good time management and organizational abilities. Ability to handle pressure and manage multiple tasks simultaneously.
