Key ResponsibilitiesVisitor Management: Greeting visitors, maintaining a tidy and welcoming reception area, and directing them to the appropriate person or office. Communication: Answering, screening, and forwarding phone calls, as well as responding to emails and providing basic information. Appointment & Calendar Management: Scheduling meetings, maintaining calendars, and managing conference room bookings. Mail & Deliveries: Receiving, sorting, and distributing incoming mail and packages, and preparing outgoing mail. Administrative Support: Performing tasks such as filing, photocopying, faxing, and data entry to support other departments. Office Maintenance: Monitoring and ordering office supplies to ensure adequate stock. Travel Coordination: Arranging travel and accommodations for office personnel. Security: Monitoring access to the building by following safety procedures and issuing visitor badges. Required Skills & Competencies 1. Technical Skills Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with digital collaboration tools like Google Workspace, Slack, Zoom, or MS Teams. Ability to manage digital calendars, reminders, and online scheduling tools. Basic knowledge of financial software and expense tracking tools is an added advantage. 2. Organizational Skills Exceptional time management and multi-tasking abilities. Strong attention to detail and accuracy in handling administrative tasks. Ability to work under pressure and manage tight deadlines effectively. 3. Communication Skills Excellent verbal and written communication skills in English. Ability to draft professional business correspondences. Strong interpersonal skills to interact with clients, stakeholders, and team members. 4. Problem-Solving & Decision-Making Proactive approach to identifying potential issues and resolving them quickly. Ability to make independent decisions within defined parameters. Resourcefulness in managing unexpected changes or emergencies. 5. Confidentiality & Integrity High level of professionalism, discretion, and ethical conduct. Ability to handle sensitive information responsibly without compromising privacy. Educational Qualifications Minimum Qualification: Bachelor’s degree in Business Administration, Management, or related fields preferred. Preferred Certification: Short-term certifications in office management, secretarial practice, or executive assistance are an added advantage.
