Job Description Job Purpose The PMS Specialist is responsible for designing, implementing, and managing the company's Performance Management System (PMS) and related Standard Operating Procedures (SOPs). This role ensures effective employee performance evaluation through structured KRA/KPI frameworks, performance matrices, and data-driven insights. The specialist plays a key role in creating a culture of accountability, continuous improvement, and operational excellence across all departments. Key Responsibilities Performance Management System (PMS) - Design and implement the Performance Management Framework aligned with business goals. - Develop performance matrices, KRAs, KPIs, and competency-based evaluation models for all functions. - Coordinate and manage goal-setting, mid-year, and annual appraisal cycles. - Ensure performance evaluations are data-backed, transparent, and measurable. - Analyze performance data to identify high performers, improvement areas, and training needs. - Develop and present performance dashboards, scorecards, and reports for management review. - Support automation of PMS processes through Google Sheets, HRMS, or AI-based tools. - Conduct PMS training for employees and ensure organization-wide adoption. Standard Operating Procedures (SOPs) - Collaborate with departments to document core processes and workflows. - Prepare and maintain standardized SOP templates for consistency across departments. - Regularly review and update SOPs to ensure alignment with current business practices. - Maintain version control and a centralized digital SOP repository. - Conduct internal audits to monitor compliance and process adherence. Performance Evaluation & Reporting - Partner with department heads to ensure performance goals are realistic and aligned. - Evaluate performance data using metrics, scorecards, and rating parameters. - Prepare monthly, quarterly, and annual PMS reports with actionable insights. - Contribute to HR digital transformation and continuous improvement projects. Required Qualifications Knowledge - Deep understanding of Performance Management Systems, KRA/KPI frameworks, and competency mapping. - Familiarity with HR operations, evaluation systems, and process documentation. - Awareness of AI tools and automation platforms for HR analytics. Skills - Strong data analysis, matrix design, and dashboard creation skills. - Proficiency in Google Workspace (Sheets, Docs, Slides, Drive) and HRMS software. - Excellent communication, documentation, and presentation skills. - Ability to manage projects and collaborate across departments effectively. Attributes - Analytical and detail-oriented approach. - Process-driven with strong organizational discipline. - High integrity and confidentiality in handling performance data. - Adaptable to digital and AI-enabled HR practices. - Able to manage multiple priorities in a structured manner. Education - Bachelor's degree in Human Resources, Business Administration, or related field. - MBA or equivalent postgraduate qualification preferred. Experience - 35 years of experience in Performance Management, KRA/KPI framework design, or SOP development. - Experience in automation or AI-integrated HR systems will be an added advantage.
