Job Description We are looking for a highly organized and detail-oriented Order Processing & Purchase Executive to be the vital link between our on-field operations and our inventory/finance systems. This role is responsible for accurately converting field requests into official Purchase Orders (POs) and ensuring all data is meticulously entered into Tally Prime. Key Responsibilities 1. Order and Data Management (The Core Function) Order Intake: Serve as the primary point of contact for all order requests received from Regional Managers and on-field sales teams. Data Vetting: Review and verify all incoming order requests for accuracy, completeness, and adherence to company policies (e.g., correct pricing, quantity, and product codes). PO Creation: Accurately and timely create, process, and issue Purchase Orders (POs) and corresponding sales/delivery documentation using Tally Prime. Tracking and Follow-up: Maintain a systematic tracking system to monitor the status of all outstanding orders and POs until delivery/completion. 2. Tally Prime Operations Voucher Entry: Manage daily data entry in Tally Prime, specifically for Purchase Vouchers, Sales Vouchers, and Inventory Management related to the orders placed. Record Keeping: Ensure all order-related documentation (physical and digital copies of POs, invoices, GRNs, etc.) are properly filed and easily retrievable for auditing purposes. Reporting: Assist the management team by generating routine and ad-hoc reports from Tally Prime related to purchase cycles, outstanding orders, and regional sales trends. 3. Coordination and Communication Internal Coordination: Communicate effectively with Regional Managers to resolve discrepancies, clarify order details, and inform them of order status or delays. Vendor Liaison: Communicate with vendors/suppliers regarding PO confirmation, delivery schedules, and invoicing queries. Required Skills & Qualifications Tally Prime Proficiency (Mandatory): Proven, hands-on experience using Tally Prime for Purchase Order processing, voucher entry (Purchase/Sales), and inventory tracking. Experience: Atleast 1-2 years of experience in an Order Processing, Procurement, or Administrative role. Attention to Detail: Exceptional focus on accuracy in data entry and documentation. Communication: Excellent verbal and written communication skills to interact professionally with field staff and vendors. Software Skills: Proficiency in MS Excel for basic data analysis and reporting. Education : Should be a graduate.
