Job Description Job Title: Travel & Expenses Executive / Accounts Payable Department: Finance / Accounts Payable Location: Kharadi, Pune Reports To: Accounts Payable Manager Position Overview The Travel & Expenses Executive is responsible for managing, auditing, and processing employee travel and expense claims in accordance with company policies and accounting standards. The role ensures timely reimbursements, policy compliance, accurate accounting entries, and smooth coordination with employees, vendors, and finance teams. Key Responsibilities Expense Management & Processing: - Review, verify, and process employee travel and business expense claims in line with company policies. - Audit receipts, supporting documents, and approvals for accuracy and compliance. - Manage travel advances and reconcile against final expense reports. - Ensure timely reimbursement of claims through the accounts payable system. - Maintain accurate and up-to-date employee expense records. Policy Compliance & Controls - Ensure adherence to travel and expense (T&E) policy and identify any non-compliance issues. - Communicate and guide employees on policy-related queries or exceptions. - Support continuous improvement of T&E processes and internal controls. System & Accounting - Process expense reports using ERP tools (e.g., SAP / Oracle). - Reconcile expense accounts, employee advances, and credit card statements. - Coordinate with the finance team for month-end and year-end closing activities related to T&E. Vendor & Employee Support - Liaise with travel agencies, airlines, and hotels for invoice reconciliation and issue resolution. - Respond to employee queries related to travel bookings, reimbursements, and payments. - Support audit requirements by providing necessary documentation and clarifications. Education Qualifications & Skills: - ACCA/ bachelor's degree in commerce, Accounting, Finance, or related field. Experience - 25 years of experience in Accounts Payable / T&E process within a corporate environment. - Experience in ERP systems (SAP / Oracle). Skills - Strong understanding of accounting principles and T&E policies. - Excellent attention to detail, accuracy, and analytical skills. - Proficiency in MS Excel and accounting systems. - Strong communication and interpersonal skills. - Ability to work independently and meet deadlines in a fast-paced environment.
