JLL empowers you to shape a brighter way Our people at JLL and JLL Technologies are shaping the future of real estate for a better world by combining world class services advisory and technology for our clients We are committed to hiring the best most talented people and empowering them to thrive grow meaningful careers and to find a place where they belong Whether youve got deep experience in commercial real estate skilled trades or technology or youre looking to apply your relevant experience to a new industry join our team as we help shape a brighter way forward Specialist Design WorkflowWhat this job involves Project Management DocumentationAn essential part of your role will involve managing offline and online design operations on projects responding to stakeholder requests project scoping keeping stakeholders updated on project status ensuring delivery within SLAs Alongside you will also interpret briefs ensure complete details are there for the team to initiate work and maintain reports and records of all invoices and billings You will also be expected to flag escalate issues on time update the team issues log You will also be expected to understand and implement existing processes smoothly and actively drive and document any new processes that are being implemented You will be the locations operational custodian ensuring consistent process quality on a day-to-day basis and capturing best practices Relationship BuildingThe process of workflow coordination involves building strong relationships with requestors stakeholders through active communication on projects seeking queries setting expectations early and providing a smooth experience through the project delivery You will have to liaise closely with the internal teams facilitate kick-off calls on complex projects and make sure key milestones are documented ReportingManaging operations requires visibility into the overall workflow across the teams You will be working with data on the workflow management tool to help create daily weekly monthly ad hoc reports for stakeholders and internal teams Youll be the owner of all the operational dashboards and monitor the teams utilization and bandwidth Creative Digital OperationsYou will be working on projects with various design collaterals for digital and offline mediums and will require an understanding of principles of basic design guidelines principles and familiar with the digital ecosystems such as email marketing website social media platforms Operational Updates TrainingsYou will be the owner of the operations keeping track of capacity and volume of work maintaining dashboards and sharing updates and suggestions to team leads and stakeholders You will be responsible for co-ordinating with internal teams for root cause analysis on feedback and frequent updates of issue logs You will be the custodian of all the internal onboardings and trainings for Workflow coordinators joining the team Sound like youProcess Data OrientationExperience of having managed creative or digital operations in an agency or a service delivery set-up is a must You need to have great organisational skills to plan prioritize and deliver multiple projects through the day Having worked with cross-functional teams such as digital design etc will be an added advantage To succeed in the role it is essential that you understand process adhere to them and recommend improvements from time to time Attention to Detail Great CommunicationOne of the workflow coordinator s main responsibilities will be liaising between the functional teams and the stakeholders This will involve sharing clear and concise communication through the request intake process understanding briefs aligning expectations with the teams and stakeholders and collecting feedback You will be expected to have excellent written and verbal communication skills to deliver projects Thinking Design DigitalYoull be expected to understand the fundamental differences between various design collaterals and the effort required for them You should also be comfortable enough with digital platforms and concepts to have conversations and advise clients on their projects Microsoft Suite ExpertiseThis role would entail multiple tasks that would need you to be proficient at basic Microsoft softwares such as Word Excel and Power Point Youll be frequently expected to use the tools to actively articulate improvements and process updatesProblem SolvingYou will be front-ending the relationship with stakeholders across different functions and teams Youll be expected to understand feedback situations and think on your feet to share the best possible solutions to the client and be good at setting expectations internally and externally Time and Team ManagementYou will be working across tasks with a host of different teams an experience with driving multiple tasks across time zones at the same time while ensuring all best practices are applied -
