Personal Secretary Executive Assistant to the Chancellor Organization Mohan Babu University Tirupati Position Title Personal Secretary to the Chancellor Department Chancellor s Office Reports To Chancellor Job Summary We are seeking a highly proficient dynamic and discreet Personal Secretary to provide comprehensive administrative and secretarial support to the Honorable Chancellor The ideal candidate will be the primary point of contact for the Chancellor s office managing a wide range of executive-level tasks with the utmost professionalism and confidentiality Exceptional fluency in English and Telugu is fundamental to this role with a strong command of Hindi being a significant advantage Key Responsibilities Executive Support Calendar Management Manage the Chancellor s complex and dynamic calendar including scheduling appointments meetings and travel itineraries Act as the first point of contact screening phone calls emails and visitors with tact and discretion Prepare and organize agendas presentations and briefing documents for meetings Communication Correspondence Draft proofread and edit high-quality business correspondence emails reports and speeches in flawless English Accurately transcribe dictations and minutes of meetings Liaise effectively with internal departments external stakeholders and high-level dignitaries on behalf of the Chancellor Documentation Record Keeping Maintain an efficient filing and documentation system both electronic and physical for the Chancellor s office Handle confidential and sensitive information with the highest level of integrity Meeting Event Coordination Coordinate and logistically arrange high-level meetings including board meetings and university events Attend meetings take precise minutes and track follow-up actions Liaison Representation Serve as a key liaison for the Chancellor representing the office with professionalism and poise Facilitate smooth communication between the Chancellor s office and other university departments Required Qualifications Skills Education Bachelor s degree is mandatory A Master s degree or a diploma in Secretarial Practice Office Management will be preferred Experience Minimum of 5-7 years of proven experience as a Personal Secretary Executive Assistant or similar role supporting C-level executives or prominent individuals Language Proficiency Non-Negotiable English Exceptional and flaring command both written and verbal with the ability to draft sophisticated correspondence Telugu Excellent and mandatory communication skills with full fluency in speaking reading and writing Hindi Highly desirable and preferred with strong conversational and comprehension abilities Technical Skills Advanced proficiency in MS Office Suite Word Excel PowerPoint Outlook Expertise in managing video conferencing tools Zoom MS Teams etc Personal Attributes Impeccable integrity and ability to maintain absolute confidentiality Exceptional organizational and time-management skills Proactive resourceful and able to work effectively under pressure Strong interpersonal skills with a polished and professional demeanor High attention to detail and problem-solving aptitude What We Offer A prestigious and central role within the university s leadership A dynamic and professional work environment A competitive compensation package commensurate with experience Job Type Full-time Pay 30 000 00 - 55 310 47 per month Work Location In person
