Roles and Responsibilities - Admin Executive/Sr. Executive

Office maintenance
- Office Pantry and stock maintenance
- Office phone handling
- Stationary stock maintenance
- Courier handling - Incoming and outgoing
- Office expense management - Monthly report
- Visitor management
- Office rental payment, office maintenance payments handling - Electricity, telephone, internet etc.
- Meeting arrangements
- Facilitating office festival requirements
- Managing Security guard and House Keeping staff
- Responsible for office cleanliness & maintenance.
- Maintaining the Registers: Employees in and Out, Visitors, Courier In and Out, Car Parking. Security and Housekeeping in and Out, handover Register of Security’s, Conference room and Meeting rooms, By hand Courier, Key Register, Stationery Moment Register.
- All above activities should be update in the respective trackers
- Happay Bills to be submitted daily without any miss.
- Vendor registration and vendor management
- Managing existing vendors and ensure service/products are delivered on time as per the agreements.
- Vendor Invoice / Payments on time
- Closely working with Procurement team for quotes finalization and sourcing new vendors
- Identifying and onboarding new vendors for office needs.
- Keeping track of vendor list and their charges
- All transaction to be done in ERP
- Travel management
- Travel portal management - Creation and deletion of employee accounts.
- Accommodation Booking - specific only to HQ / Bangalore meetings.
- Travel Booking specific only to HQ / Bangalore meetings - for visitors, guests, and senior leadership team (On ask). (Employees who have access to MMT- should be booked by themselves)
- Handling flight booking - specific only to HQ / Bangalore meetings on ask at last minute/Group booking
- ADHOC admin-related activities
- Support in compliance handling such as submission of office related to documents to specific compliance departments.
- Travel and Accommodation and conference hall booking - if ask from HQ Leadership team
- Seasonal greetings to important stakeholders
- Engagement Programmes: Organising Birthday Events, and Festivals celebrations

Should cross-check the service and delivery before going ahead with any new vendors. Ex: Cab’s booking - he can check the cars if it is in good condition. Hotel ambience checking etc.
