Executive Secretary to CEO

Responsibilities
- **Administrative Support**:
- Manage the CEO's schedule, appointments, and meetings.
- Coordinate and organize travel arrangements and itineraries.
- Prepare reports, presentations, and other documents for meetings and conferences.
- **Communication**:
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Screen and direct communication to the appropriate departments or personnel.
- Draft and proofread communications on behalf of the CEO.
- **Meeting Coordination**:
- Schedule and organize board meetings, executive team meetings, and other key meetings.
- Prepare agendas, take minutes, and distribute them to participants.
- Follow up on action items and ensure timely completion.
- **Project Management**:
- Assist in managing special projects and initiatives as directed by the CEO.
- Coordinate with various departments to gather information and track progress.
- **Office Management**:
- Maintain and organize the executive office, ensuring it is well-stocked and efficient.
- Handle confidential files and information with discretion.
- Liaise with vendors and service providers as needed.
Skills and Qualifications
- **Educational Background**:
- A bachelor's degree in business administration, healthcare management, or a related field.
- Additional certification in office management or secretarial skills is advantageous.
- **Professional Experience**:
- Proven experience as an executive secretary or administrative assistant, preferably in a healthcare setting.
- Familiarity with hospital administration and the healthcare industry.
- **Technical Skills**:
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Experience with scheduling and project management software.
