Job Summary:
Key Responsibilities:
- **Greeting and Welcoming Guests**: Welcome guests as soon as they arrive at the office, direct them appropriately, and ensure they feel comfortable while waiting.
- **Managing Phone Calls**: Answer, screen, and forward incoming phone calls in a polite and professional manner. Provide basic information as needed.
- **Scheduling and Coordination**: Manage the scheduling of meetings and appointments. Coordinate the use of meeting rooms and maintain the calendar.
- **Mail and Deliveries**: Handle incoming and outgoing mail and deliveries. Sort, distribute, and manage courier services.
- **Administrative Support**: Assist with various administrative tasks such as filing, photocopying, faxing, data entry, and maintaining office supplies.
- **Maintaining Office Security**: Follow security procedures and control access via the reception desk. Monitor logbooks and issue visitor badges.
- **Customer Service**: Provide excellent customer service by addressing visitor and client inquiries promptly and professionally.
- **Office Maintenance**: Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures).
Qualifications:
- **Education**: High school diploma or equivalent. Additional certification in Office Management is a plus.
- **Experience**: Proven work experience as a Receptionist, Front Office Representative, or similar role.
- **Technical Skills**: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with office equipment such as printers, fax machines, and telephones.
- **Communication Skills**: Excellent verbal and written communication skills. Ability to interact positively with clients, visitors, and employees.
- **Organizational Skills**: Strong organizational and multitasking abilities. Attention to detail and problem-solving skills.
- **Professional Attitude**: A professional appearance and demeanor. Reliable, punctual, and able to handle stressful situations calmly.
Working Conditions:
- **Environment**: Office-based role with a primary location at the front desk.
- **Hours**: Standard office hours, Monday through Friday, with occasional weekend or evening shifts depending on business needs.
- **Physical Requirements**: Ability to sit for extended periods and use office equipment. Occasional lifting of packages or office supplies.

Pay: ₹12,000.00 - ₹18,000.00 per month
