Front Desk Receptionist

**Job Description:
- **
Greet vendors, customers, job applicants, and other visitors, and arrange for transportation services when needed. Direct visitors by maintaining employee and department directories. May operate a switchboard to route incoming calls and place outgoing calls. Maintain security by following procedures, monitoring the logbook, and issuing visitor badges. It requires a high school diploma or its equivalent with 0-3 years of experience in the field or in a related area. Has knowledge of commonly used concepts, practices, and procedures within a particular field. Rely on instructions and pre-established guidelines to perform the functions of the job. Work under immediate supervision. Primary job functions do not typically require exercising independent judgment. Typically reports to a supervisor or manager. Possess excellent communication and multitasking skills, a positive attitude, and a strong work ethic.
**Responsibilities:
- **
Receiving visitors at the front desk by greeting, welcoming, connect them with the concerned person.
Answering screening and forwarding incoming phone calls.
Receiving and sorting daily mail.
Answer the phone in a timely manner and direct calls to the correct departments.
Create and manage both digital and hardcopy filing systems for all parties.
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
Deal with complaints or problems.
Order front office supplies and keep inventory of stock.
Update calendars and schedule meetings of director with clients.
Keep updated records of office expenses and costs.
Perform other clerical receptionist duties such as filing, photocopying, transcribing.
Enter customer data and send correspondence.
Copy, file and maintain paper or electronic documents and records.
Handle incoming and outgoing mail.

1. Proven work experience as a Receptionist, Front Office Representative or similar role.
