**Job Summary**:
As a Front Office Supervisor, you will play a pivotal role in ensuring the smooth and efficient operation of the hotel's front desk. Your primary responsibility will be to oversee the daily activities of the front office team, maintain exceptional guest service standards, and contribute to creating a welcoming and positive guest experience. You will also handle guest inquiries, resolve issues, and assist in coordinating various front office functions.
**Key Responsibilities**:
- **Team Supervision**: Provide guidance, direction, and supervision to the front desk team, including Front Desk Agents, Concierge, and Bell Staff. Ensure adherence to hotel policies, procedures, and service standards.
- **Guest Relations**: Greet guests warmly, handle guest check-ins and check-outs efficiently, and address any guest concerns or complaints promptly and professionally. Strive to exceed guests' expectations and foster a culture of exceptional customer service.
- **Reservations Management**: Oversee room reservations, cancellations, and modifications to ensure accuracy and maximize occupancy. Monitor room availability, rates, and inventory to optimize revenue and occupancy levels.
- **Training and Development**: Conduct training sessions for front office staff to enhance their product knowledge, service skills, and efficiency. Provide ongoing coaching and feedback to support team members' professional growth and development.
- **Administrative Tasks**: Assist with administrative duties, including managing the front desk logbook, preparing daily reports, handling cash transactions, and reconciling accounts. Ensure compliance with financial procedures and security protocols.
- **Communication and Coordination**: Maintain clear and open communication with other hotel departments, such as Housekeeping, Maintenance, and Food and Beverage, to coordinate guest requests, room assignments, and special arrangements effectively.
- **Safety and Security**: Monitor the lobby area and entrance to ensure the safety and security of guests and property. Follow emergency procedures and protocols in case of incidents or emergencies.
- **Quality Assurance**: Conduct regular inspections of guest rooms and public areas to ensure cleanliness, maintenance standards, and adherence to brand standards. Take appropriate action to address any deficiencies or issues.
- **Upselling and Revenue Generation**: Identify opportunities to upsell hotel amenities, services, and packages to enhance the guest experience and increase revenue. Promote loyalty programs and encourage repeat business.
- **Guest Feedback and Satisfaction**: Solicit feedback from guests through surveys, reviews, and personal interactions. Use feedback to identify areas for improvement and implement corrective measures to enhance guest satisfaction.
**Requirements and Skills**:
- Excellent interpersonal and communication skills.
- Strong leadership and decision-making abilities.
- Proficiency in hotel property management systems (PMS) and other relevant software.
- Knowledge of hotel operations, including reservations, check-in/check-out procedures, and guest services.
- Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
- Attention to detail and problem-solving skills.
- Flexibility to work shifts, including evenings, weekends, and holidays, as needed.
