Job Description: Office Assistant

Position Overview:
The Office Assistant plays a crucial role in maintaining efficient office operations and providing support to various departments within the organization. They are responsible for performing administrative tasks, assisting with clerical duties, and ensuring smooth communication within the office environment.

Key Responsibilities:
1. Administrative Support:

- Schedule appointments, meetings, and travel arrangements for staff members.
- Maintain and update filing systems, both electronic and physical.
- Assist with the preparation of reports, presentations, and other documents as needed.

2. Reception and Customer Service:

- Greet visitors and provide assistance as required.
- Direct incoming calls to appropriate personnel and take messages when necessary.
- Respond to inquiries from clients, suppliers, and other stakeholders in a professional and timely manner.

3. Office Maintenance:

- Monitor and maintain office supplies inventory; reorder supplies when necessary.
- Coordinate with vendors for office equipment repairs and maintenance.
- Ensure cleanliness and tidiness of common areas, including conference rooms and break rooms.

4. Data Entry and Record-keeping:

- Input and update data in various systems and databases accurately.
- Maintain confidentiality of sensitive information and ensure compliance with data protection policies.
- Assist in organizing and maintaining paper and electronic records.

5. Support to Departments:

- Assist different departments with administrative tasks as needed, including photocopying, scanning, and filing documents.
- Collaborate with colleagues to facilitate smooth workflow and effective communication.

Qualifications and Skills:

- High school diploma or equivalent; additional qualifications in office administration or related field is a plus.
- Proven experience as an office assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
- Excellent organizational and multitasking abilities with attention to detail.
- Strong communication skills in English, both verbal and written.
- Ability to work independently and as part of a team.
- Professional demeanor and customer-focused approach.

**Job Types**: Full-time, Permanent

**Salary**: ₹20,000.00 - ₹25,000.00 per month
