Process Coordinator

**Overview**:
The Purchase Process Coordinator (Vendor Management) at Pranav Creations Pvt. Ltd. will be responsible for overseeing the procurement process, focusing specifically on vendor management. This role involves sourcing and evaluating suppliers, negotiating contracts, and maintaining positive relationships to ensure timely delivery of quality goods and services.
**Key Responsibilities**:
- **Vendor Sourcing and Evaluation**:
- Identify potential suppliers/vendors based on product/service requirements.
- Conduct thorough evaluations of vendors, assessing factors such as quality, reliability, pricing, and delivery capabilities.
- Maintain a database of approved vendors and regularly review their performance.
- **Vendor Negotiation and Contract Management**:
- Negotiate terms and pricing with vendors to secure favorable agreements while maintaining quality standards.
- Draft and review contracts, ensuring all terms and conditions are clearly defined and adhered to.
- Monitor contract compliance and address any discrepancies or issues as they arise.
- **Purchase Order Management**:
- Generate and process purchase orders accurately and efficiently.
- Coordinate with internal stakeholders to confirm requirements and specifications.
- Monitor order status and track deliveries to ensure timely receipt of goods/services.
- **Vendor Relationship Management**:
- Cultivate and maintain strong relationships with key vendors, acting as the primary point of contact.
- Address vendor inquiries and resolve any issues or disputes in a timely manner.
- Work collaboratively with vendors to identify opportunities for process improvement and cost optimization.
- **Performance Analysis and Reporting**:
- Analyze vendor performance metrics such as delivery timeliness, quality of products/services, and adherence to contract terms.
- Prepare reports and provide recommendations for enhancing vendor performance and optimizing costs.
- Continuously monitor market trends and supplier capabilities to identify potential opportunities or risks.
**Qualifications**:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field.
- Proven experience in procurement, vendor management, or a similar role.
- Strong negotiation and contract management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and ERP systems.
- Analytical mindset with the ability to interpret data and make informed decisions.
- Attention to detail and strong organizational skills.
- Ability to work effectively both independently and as part of a team.
