Design Project Coordinator

**Act as Liaison**: Serve as the central point of contact between the design team, Directors, and other departments, such as Operations, Production, CRM, Finance, Procurement, and Project management.
- **Regular Meetings**: Schedule and lead regular coordination meetings with representatives from all relevant departments to discuss project progress, upcoming tasks, and any potential conflicts.
- **Update Communication Channels**: Maintain and update shared communication channels to ensure everyone has access to the latest information.
- **Align Schedules**: Develop and manage a master project schedule that incorporates deadlines and milestones for design departments. Ensure that design deliverables align with the schedules of Operations, Production, CRM, Finance, Procurement, and Project management teams.
- **Task Integration**: Assign tasks to the Design team as per the Principal Architects instructions and ensure every employee completes their tasks on a timely basis. Work with the design team to identify key design elements that must be integrated with other department schedules and vice versa.
- **Resource Allocation**: Ensure that resources required by different departments are available when needed. This includes coordinating the delivery of materials and arranging for necessary manpower.
- **Identify Dependencies**: Map out the dependencies between the design team and other departments and resolve them.
- **Address Conflicts**: Identify and resolve any conflicts or overlaps in work between departments.
- **Monitor Progress**: Regularly check the progress of tasks across Design departments to ensure they align with the overall project plan.
- **Issue Resolution**: Act as a mediator to resolve any issues that arise between the design team and other departments. This could involve addressing discrepancies in design execution or handling delays in material delivery.
- **Feedback Loop**: Establish a feedback loop where departments can provide input on design feasibility and vice versa. This ensures that design decisions take into account practical considerations from other departments.
- **Maintain Records**: Keep detailed records of all communications, decisions, and changes related to inter-departmental coordination. This documentation helps in tracking progress and resolving any disputes.
- **Report Status**: Prepare and distribute status reports that summarize progress across departments, highlight any issues, and provide updates on how inter-departmental coordination is being managed.
- **Flexibility**: Be prepared to adapt plans and schedules as needed based on feedback from different departments. If unexpected issues arise, work with all teams to find solutions that keep the project on track.
- **Continuous Improvement**: Regularly review the coordination process and make improvements based on lessons learned from each project. Seek feedback from all departments to enhance future coordination efforts.
