Tactical and Strategic Sourcing Support

(1) Support requests for qualifications, requests for proposal, requests for information, and other Cases as requested.

(2) Coordinate and conduct kickoff meetings with the appropriate stakeholders to confirm expectations on the scope, scale, duration, timing, and deliverables of each sourcing event.

(3) Create and maintain a project plan for each sourcing event to assist communications among team members. Confirm that the appropriate Client team members are informed on key activities such as Vendor participation, documented deliverables, and time allocation requirements. Obtain Client approval for project plan.

(4) Actively collect, document, validate, and optimize functional, technical, and commercial requirements and data to perform the sourcing event, including from prior sourcing events supported, Vendor managed templates, and any other relevant sources of information.

(6) In instances where a potential supplier list is not available, conduct research to identify and qualify potential supplier(s) to be considered for the sourcing event by performing supplier analysis (e.g., capabilities, differentiators, market perception, clients, expertise, risks, diverse-owned).

(7) Research and identify diverse-owned companies, as defined by Client, for inclusion in sourcing events.

(8) Research whether potential suppliers have a current NDA in place with Client, and flag those that do not.

(9) Research in Client’s internal systems information on vendor onboarding status, contract status, spend to date, and any other necessary information related to existing suppliers to aid in the preparation of RFx events.

(10) Initiate NDA process for authorized supplier(s) without a current NDA.

(11) Initiate third-party assessment, when needed.

(12) Create, draft, and package Client-approved documentation for sourcing events, including:

- Functional requirements
- Technical requirements
- Exhibits (e.g., volumetric data, pricing response templates)
- Performance management structure (e.g., service level agreements, fees at risk, service level credits)
- Required Client legal and commercial templates

(15) In coordination with Client and per the agreed project plan, manage and coordinate supplier communications and activities throughout each phase of sourcing event, including:

- Communication of sourcing timeline to supplier(s)
- Sharing of Client approved sourcing event documentation
- Preparation and drafting of supplier communications for Client approval
- Distribution of Client approved communications
- Management of the supplier question and response process
- Milestone reminders (e.g., registration, deadlines)
- Supplier progress tracking
- Escalation to Client of nonresponsive or other supplier issues
- Status updates to Client
- Supplier response improvement requests

(16) Receive and track questions from supplier(s) and facilitate responses to questions during sourcing event, including drafting initial responses to questions, and coordinating with Client on gathering responses from Client stakeholders.

(17) Distribute responses to supplier questions to supplier(s).

(18) In coordination with Client, coordinate and facilitate supplier solution presentations and demonstrations, including meeting setup, communications, and confirmation of supplier presentations, scripting agendas and demonstrations (e.g., use cases), as well as subsequent evaluations.

(19) Develop and prepare supplier evaluation materials, including:

- Supplier selection criteria with scoring weightings, assigned scorers, and scoring templates
- Pricing analysis templates with historical Client and Vendor deal references and available market benchmarks for pricing; if direct benchmarks are unavailable, leverage benchmarks and Vendor experiences for like or similar goods as available
- Preliminary draft of supplier response evaluation deck

(20) Receive RFP responses, prepare packages for distribution, and distribute to stakeholders as agreed with Client; facilitate scoring and evaluation of supplier(s) as required.

(21) Score and provide feedback on supplier responses.

(22) As requested by Client, perform and/or facilitate supplier reference checks and other required due diligence.

(23) Conduct pricing analysis of supplier responses and benchmark prices against available data, analyzing cost and savings per the methodology determined by Client.

(24) Develop and prepare an evaluation summary of supplier responses based on pricing analysis and Client scoring, including compiling responses from evaluators, identifying differentiation, and summarizing results to facilitate Client’s selection recommendation. As necessary, revise and update evaluation summary based on subsequent improvement requests or best and final offers. Determine award decision for sourcing event and select supplier(s).

(25) Support supplier(s) negotiations, including:

- Manage negotiations tracker
- Update relevant documentation
