Front Desk Receptionist

The Front Desk Receptionist/Administrator is responsible for providing excellent customer service, managing the front desk area, and performing various administrative tasks. This role acts as the first point of contact for visitors, clients, and employees, and plays a crucial role in maintaining a professional and organized office environment.
Key Responsibilities:
Greeting and Welcoming Visitors: Warmly welcome visitors, clients, and guests, and provide them with a positive first impression of the organization. Direct them to the appropriate person or department and ensure their needs are addressed promptly.
Managing Incoming Calls: Answer and direct incoming calls to the appropriate person or department. Take accurate messages when necessary and ensure they are relayed promptly.
Scheduling and Coordination: Manage the scheduling of appointments, meetings, and conference room bookings. Coordinate and communicate schedules with staff members and other stakeholders.
Administrative Support: Perform general administrative duties such as typing, data entry, filing, photocopying, and scanning documents. Maintain and update records, databases, and filing systems as required. Assist with the preparation of reports, presentations, and correspondence.
Office Maintenance and Supplies: Monitor and maintain the cleanliness and organization of the reception area, conference rooms, and common areas. Ensure office supplies are stocked and orders are placed as needed.
Visitor and Security Management: Issue visitor badges, maintain visitor logs, and enforce security protocols. Monitor and authorize access to the premises, ensuring the safety and security of employees and visitors.
Information Dissemination: Provide general information about the organization, its services, and activities to visitors and callers. Keep updated knowledge of company policies, procedures, and personnel changes.
Problem Solving: Handle inquiries, complaints, and requests from visitors, clients, and employees in a professional and customer-focused manner. Escalate issues to the appropriate personnel when necessary.
Skills and Qualifications:
1. Bachelor Degree or equivalent; additional education or certification in office administration is a plus.
2. Proven experience in a similar role, preferably as a receptionist or administrative assistant (2-3 years).
3. Excellent verbal and written communication skills in English, Hindi and Marathi
4. Strong interpersonal and customer service skills.
6. Organizational and multitasking abilities, with keen attention to detail.
7. Professional and polished appearance.
8. Ability to handle confidential information with integrity and discretion.
9. Strong problem-solving skills and the ability to remain calm under pressure.
10. Flexibility to adapt to changing priorities and work independently or as part of a team.
Pay: ₹15,000.00 - ₹20,000.00 per month
