**Position Title**: Bell Desk Executive
**Department**: Front Office
**Job Summary**:
The Bell Desk Executive plays a critical role in the first and last impressions of guests at the hotel. This role involves assisting guests with luggage, providing information about the hotel's facilities and services, and ensuring a smooth check-in and check-out process. The Bell Desk Executive should provide excellent customer service, assist in maintaining the lobby and entrance area, and contribute to the overall guest experience.
**Key Responsibilities**:
1. **Guest Assistance**:
- Greet guests upon arrival and departure in a warm and friendly manner.
- Assist guests with their luggage and provide luggage storage services when needed.
- Escort guests to their rooms, explaining room features and hotel facilities during the process.
- Assist with room-related inquiries and coordinate with housekeeping and maintenance when required.
2. **Check-in/Check-out Support**:
- Assist in the check-in and check-out process by confirming guest details, issuing room keys, and processing payments if necessary.
- Inform guests about hotel services, amenities, and any special offers available during their stay.
- Handle guest requests or complaints promptly and ensure guest satisfaction.
3. **Concierge Services**:
- Provide information on local attractions, transportation options, dining recommendations, and other guest-related needs.
- Coordinate with other departments (e.g., housekeeping, concierge) to ensure guests’ requests are met in a timely manner.
4. **Lobby and Entrance Management**:
- Maintain a clean and organized bell desk area, ensuring that it is always ready to assist guests.
- Monitor the lobby and entrance to ensure smooth guest arrivals and departures, and offer assistance as needed.
- Maintain an orderly system for luggage storage, ensuring guest belongings are securely handled.
5. **Coordination with Other Departments**:
- Communicate effectively with the Front Office, Housekeeping, and Security departments to ensure the smooth operation of daily activities.
- Assist in handling and distributing mail, messages, and parcels for guests.
6. **Guest Satisfaction and Feedback**:
- Actively seek feedback from guests to identify areas for improvement and maintain high guest satisfaction levels.
- Report any guest concerns or complaints to the management team for timely resolution.
7. **Safety and Security**:
- Ensure the safety and security of guests and their belongings at all times.
- Follow established hotel policies and procedures for handling lost and found items.
- Adhere to all health and safety guidelines to create a safe environment for guests and staff.
**Required Skills & Qualifications**:
- **Education**: High school diploma or equivalent; a degree or diploma in Hospitality Management is a plus.
- **Experience**: Previous experience in a customer-facing role, preferably in the hospitality or hotel industry. Experience in a bell desk or front office role is an advantage.
- **Communication**: Excellent communication skills in [language(s) required]. Additional language skills are a plus.
- **Customer Service**: Strong interpersonal skills and a guest-focused attitude.
- **Physical Stamina**: Ability to assist guests with luggage, walk and stand for long periods, and handle various physical tasks.
- **Organizational Skills**: Ability to prioritize tasks and handle multiple requests simultaneously.
- **Technology**: Familiarity with hotel management software and basic computer skills.
- **Personal Presentation**: Well-groomed appearance and a professional demeanor at all times.
**Desirable Qualities**:
- Friendly, polite, and approachable.
- Proactive and able to anticipate guest needs.
- Team-oriented with the ability to collaborate effectively with other hotel departments.
- Problem-solving abilities and a calm demeanour under pressure.
- Attention to detail and a strong work ethic.
**Working Conditions**:
- **Schedule**: Must be flexible to work shifts, including weekends, holidays, and overnight shifts.
- **Environment**: This role involves working in a fast-paced, customer-facing environment. The Bell Desk Executive will spend time both indoors and outdoors in all weather conditions.
**Physical Demands**:
- Ability to lift, carry, and move heavy luggage (up to 25-30 kg).
- Ability to stand, walk, bend, and stoop for extended periods of time.
