**Overview**

Deliver Executive admin support accountabilities for HBS Hub lead and senior leadership in the site

**Responsibilities**
- Ensuring seamless calendar management/ meeting scheduling for all LG2+ stakeholders while managing the Leadership team coordination for various admin related tasks catering to India President
- Cross functional collaboration with high end communication with most important leaders within the organization
- Administrative support to the Site leader
- Planning Visa management for HBS and co-ordinate with embassies for appointments
- Liase with external bodies such as NASSCOM and other consulting organisations in the Shared services domain
- Ensure booking and usability of TP, Conference rooms, Training facility etc
- External Vendor engagements and arrangements for catering, usage planning and conducting town halls
- Maintain communication across corporate leaders & HBS leaders to ensure high team collaboration and effortlessly managing time for the hub lead
- Ensuring travel related arrangements for all the above LG2+ leaders by adhering to the smart spend policy and strict safety guidelines especially in the covid scenario
- Assisting the LG2 and below members in travelling international
- On-boarding (if any) of new member and create efficiencies in the induction process of the new joiners
- Maintaining high level of confidentiality of important meetings and decisions for effective execution of business strategies by building the culture of trust, truth and candour Arrange Travel itinerary including web check-in and arranging transportation
- Planning team outing / Fun activities
- Processing expense reports for the leads
- Give away /R&R/ award arrangements
- Zoom connects/ team connects
- Celebrate birthday and anniversaries of team members
- Update Org structures

**Qualifications**
- Graduate in any stream (post graduate preferred) with minimum 5 years’ experience in a Foods and Bev FMCG / Technical function
- People skills
- Skilled in Admin related work including accounting transactions and travel bookings
- Articulation and language skills - ability to engage with local and global admin and other stakeholders
- Time management and managerial skills necessary to conduct their job efficiently
- Good understanding of admin processes, operational safety and necessary practices for smooth Liaoning with stakeholders
- Collaborative skills
- Disciplined and organized, with a strong sense of purpose
