**Job Description**:
As an Office Assistant in the real estate sector, you will play a pivotal role in supporting day-to-day administrative operations. Your responsibilities will include handling inquiries, managing documentation, and providing efficient clerical support to ensure the smooth functioning of the office. This entry-level position offers an opportunity to contribute to the overall efficiency of a real estate office.

**Responsibilities**:

- **Administrative Support**:

- Assist in general office tasks, including filing, data entry, and managing phone calls.
- Provide administrative support to real estate agents and management as needed.
- **Client Interaction**:

- Greet and assist clients, both in person and over the phone, in a professional and courteous manner.
- Handle basic client inquiries and direct them to the appropriate personnel.
- **Document Management**:

- Organize and maintain office documents, contracts, and records in both physical and digital formats.
- Assist in the preparation and distribution of real estate-related paperwork.
- **Appointment Scheduling**:

- Coordinate schedules and appointments for real estate agents and office personnel.
- Manage meeting room bookings and ensure availability for client meetings.
- **Communication**:

- Facilitate communication between clients, agents, and other office staff.
- **Office Supplies**:

- Monitor and replenish office supplies, ensuring availability for daily operations.
- Assist in managing inventory and placing orders as needed.
- **Database Management**:

- Maintain and update client databases and contact lists.
- Input relevant data into real estate software and CRM systems.
- **Research**:

- Conduct basic research related to real estate market trends, property listings, and other industry information.
- **Assistance in Marketing Activities**:

- Support marketing initiatives by preparing promotional materials and assisting in social media updates.
- Coordinate mailings and distribution of marketing collateral.
- **Ad Hoc Tasks**:

- Assist in various ad hoc tasks and projects as assigned by real estate agents or office management.

**Requirements**:

- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite and basic office software.
- Excellent communication and interpersonal abilities.
- Attention to detail and accuracy in data entry.
- Customer-focused mindset and a positive attitude.
- Adaptability in a fast-paced office environment.
- Basic knowledge or interest in the real estate industry is advantageous.
- Ability to maintain confidentiality and handle sensitive information.
