Position: Office Assistant
Summary:
**Responsibilities**:
1. Administrative Support:
- Greet visitors and direct them to the appropriate personnel.
- Assist in scheduling appointments, meetings, and conference calls.
- Prepare and distribute memos, letters, and other official documents.
- Manage office supplies and equipment, ensuring their availability and proper maintenance.
2. File Management:
- Organize and maintain physical and digital files, ensuring documents are easily accessible and up-to-date.
- Categorize and archive records according to established procedures.
3. Data Entry and Record Keeping:
- Accurately input data into the company's database or spreadsheet software.
- Update and maintain records, such as employee information, inventory, and financial transactions.
4. Reception and Customer Service:
- Provide a professional and welcoming presence at the front desk.
- Assist customers or clients by addressing inquiries or redirecting them to appropriate staff.
5. Support to Colleagues and Management:
- Assist other team members with administrative tasks as required.
- Collaborate with colleagues to coordinate office activities and projects.
- Provide support in organizing company events and meetings.
6. Office Organization and Cleanliness:
- Ensure the office area is tidy and well-organized at all times.
- Maintain cleanliness in common areas, such as the kitchen and conference rooms.
7. Assistance in Special Projects:
- Participate in special projects or assignments as directed by management.
Skills and Qualifications:
- High school diploma or equivalent; additional education or certification is a plus.
- Proven experience as an office assistant or in a similar administrative role is advantageous.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and accuracy in all work performed.
- A positive and professional demeanor with exceptional customer service skills.
- Willingness to adapt and be a team player.
- Ability to maintain confidentiality when handling sensitive information.
- Flexibility to take on new responsibilities and work well under pressure.
**Salary**: ₹15,000.00 - ₹25,000.00 per month
