Administration Officer

The Admin Officer will be overseeing the day to day school office activities and administrative details.
The Admin Officer will:
- Coordinate the logistics of construction warranties and capital improvements, as needed.
- Maintain school facility compliance with state and local code requirements.
- Ensure compliance with emergency preparedness by managing the school’s crisis plan and coordinating
- consistent, effective practice of fire drills and lockdown procedures.
- Manage school-site security, including key control, and security perimeter.
- Act as local manager for facilities maintenance, custodial, security, and other third-party service contracts,
- ensuring ongoing monitoring and implementation of contracts.
- Assist school leadership in reviewing monthly financial reports and update monthly financial projections.
- Provide site-based support in preparation for year-end audits as well as any site audits from State/CBSE in
- coordination with Principal and other staff.
- Provide financial oversight and ensure school-wide proper adherence to financial policies and procedures.
- Follow fiscal policies regarding procurement and vendor payments, including the appropriate completion of
- purchase orders and approval of vendor invoices.
- Manage and reconcile school’s petty cash, credit cards, and cheque book.
- Conduct physical verification of school property and stock at least thrice a year and ensure the maintenance of
- stock registers neatly and accurately.
- Support all operational and logístical projects for school.
- Be responsible for site-level procurement of supplies, materials, equipment, and inventory management.
- Manage school bus routes and rosters, increasing efficiency and ensuring accurate data from all transportation systems.
- Manage communication with transportation and other service provider(s), troubleshooting issues with buses or riders on a daily basis, and ensuring appropriate quality and timeline.
- Work with school personnel to maintain integrity and accuracy of records, including maintenance and tracking of staff attendance.
- Prepare reports on site operations as requested by School Directors.
- Assist with marketing and enrolment campaign for students including engagement in local marketing initiatives, demographic analysis, and coordination with local/regional communications specialists.
- Supervise development of professional growth plans and training for designated admin staff.
- Cooperate with network staff to track employee information including new hire paperwork, contact information, compensation, vacation/sick leaves, recruitment screening, background checks, and orienting of operation staff, etc.
- Act as a member of the school crisis team, working with the school leadership team to ensure that all reports are completed and any necessary changes to policies and procedures are made.
- Work as school liaison between the operations department and the education and other state departments.
- Conduct regular walkthroughs to mitigate any facilities-based issues, working with the maintenance team and/or outside contractors, as necessary.
- Provide site-based support in preparation for year-end audits as well as site audits.
**Pre-requisites**:
- Min 6 years’ prior experience as an admin officer/ manager
- Atleast a Bachelor’s degree
**Salary**: ₹30,000.00 - ₹40,000.00 per month
