**Job Title: Front Desk Executive**
**Location**: MIRA ROAD
**Department**: Administration
**Reports To**: Office Manager/HR Manager
**Job Summary**: The Front Desk Executive serves as the first point of contact for visitors and clients at Aarav Eye Care. This role involves greeting guests, managing incoming calls, scheduling appointments, and performing various administrative duties to ensure the smooth operation of the front desk and reception area.
**Key Responsibilities**:
- **Guest Reception**:
- Greet and welcome visitors in a friendly and professional manner.
- Direct visitors to the appropriate person or department.
- Provide visitors with necessary information and assistance.
- **Telephone Management**:
- Answer, screen, and forward incoming phone calls.
- Provide basic information to callers and take messages when necessary.
- Manage the company’s main phone line and ensure prompt response to calls.
- **Appointment Scheduling**:
- Schedule and manage appointments and meetings.
- Maintain an organized calendar and notify staff of upcoming appointments.
- Coordinate meeting room bookings and ensure they are prepared in advance.
- **Administrative Support**:
- Handle incoming and outgoing mail, packages, and courier services.
- Perform general clerical duties such as photocopying, faxing, and filing.
- Maintain the reception area, ensuring it is clean and tidy.
- **Customer Service**:
- Address and resolve basic inquiries and issues from visitors and clients.
- Provide exceptional customer service to enhance the company’s image.
- **Security and Safety**:
- Monitor visitor access and maintain security awareness.
- Follow safety procedures and protocols to ensure a safe working environment.
- **Record Keeping**:
- Maintain visitor logs and records.
- Update and manage contact lists and databases.
- **Coordination**:
- Liaise with other departments for administrative support and coordination.
- Assist in organizing company events, meetings, and functions.
**Qualifications**:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as a front desk representative, receptionist, or relevant position.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Professional appearance and demeanor.
- Ability to handle sensitive and confidential information with discretion.
**Working Conditions**:
- Full-time position with standard office hours.
