Position**:Officer - Front Desk / Receiptionist**

Department**:Admin**

Job Location**:Andheri East, Mumbai**

Age Limit**: below 32yrs old**

Linguistic proficiency in English essential

**Major Responsibilities**:
**Office Management & Guest Relation**
- Responsible for handling of incoming and outgoing calls and taking & passing the messages to the concern individual. Making sure to demonstrate professional and polite responses in telephone responses.
- Looking after the visitors needs at the reception by offering tea/coffee/ water.
- Receipt of couriers, magazines & newspapers.
- Ensure availability of newspaper & magazines in the waiting area.
- Greet and assist guest& visitors with courteousness. Resolve their queries or guide them to the concern person.
- Responsible for printing & disbursement of visiting cards& ID cards.
- Assist the Admin executive in general administrative activities.
- Make arrangement for office events & parties.
- To issue lunch coupons as per requests to outside people/ employees and keeping an approval record for the same.
- Order stationary, maintains stocks (Tissue, vending machine & Pantry), Bill checking & clearance for the same.
- Handle and manage petty cash.
- Preparation of the monthly call extension list.
- Maintaining the Plants upkeep and exchanging plants that’s are damaged.

**Vendor Management**
- Identify& develop strong vendor relationships that are reliable & cost effective.
- Keeping a record and payment of Landline (MTNL, Reliance & TATA) Phone bills and maintaining Siemens system (phone line repairs) and ensuring downtime is less than 24 hours.

**Travel Management**
- Responsible for travel arrangement for employees & guest within & outside the country which will include visa processing, invitation letter, ticket booking, accommodation, etc.
- Maintain travel expense reports.
- Hotel stay arrangement and follow-up
- Car Bookings and bill clearance for all the employees of the company.

**Meeting room Management**
- Responsible for booking & coordinating the availability of the meeting & conference rooms.
- Maintaining the Conference room hygiene and ensuring an upkeep in the meeting room hygiene on a time on time basis.
- Oversee & coordinate for meeting room arrangements for conferences, sales meet, training, etc.
- Checking regularly whether all equipment’s in the meeting room are available such as remote of the project, LAN connections, Markers, Duster etc. and making sure they are in working condition for all Samsonite meetings.
- Meeting arrangements along with lunch, tea, stationary during the meet etc.
