Job Summary:l’

The Administrative Staff member is responsible for providing essential administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks related to organization and communication, supporting managers and employees through a variety of tasks related to organization and communication.

Key Responsibilities:

- Administrative Support:

- Answer and direct phone calls, take messages, and handle correspondence.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute minutes of meetings.
- Documentation and Record-Keeping:

- Maintain electronic and hard copy filing system.
- Update and maintain office policies and procedures.
- Handle confidential and sensitive information with discretion.
- Office Management:

- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
- Ensure the office is tidy and functional, manage office equipment and facilities, and coordinate maintenance as needed.
- Communication:

- Serve as the point of contact for internal and external clients.
- Communicate with clients, suppliers, and employees to ensure smooth office operations.
- Draft, format, and edit reports, documents, and presentations.
- Data Entry and Management:

- Enter and update data in databases and ensure accuracy.
- Prepare and analyze reports as required.
- Project Support:

- Assist in the preparation of regularly scheduled reports.
- Provide support to various projects and initiatives as needed.
- Customer Service:

- Greet and assist visitors to the office.
- Address customer queries and provide appropriate solutions.

Qualifications:

- Education: MBA
- Experience: Proven administrative or assistant experience.
- Skills:

- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong organizational and time management skills with the ability to prioritize tasks.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to handle confidential information with integrity.

Schedule:

- Day shift
- Monday to Friday

**Experience**:

- total work: 1 year (preferred)

Work Location: In person
