**Job Description: Back Office Executive (Interior Design and Modular Kitchen Industry)**
**Position Overview**:
**Key Responsibilities**:
- **Administrative Support**:
- Assist in the day-to-day operations of the back office, including managing paperwork, filing documents, and maintaining records.
- Coordinate with internal teams, vendors, and clients to facilitate project-related activities and ensure timely completion.
- **Order Processing**:
- Process customer orders accurately and efficiently, ensuring all specifications and requirements are met.
- Coordinate with suppliers and manufacturers to procure materials and components for projects, monitoring inventory levels and delivery schedules.
- Generate purchase orders, invoices, and other documentation as required, maintaining meticulous records of transactions.
- **Client Communication**:
- Serve as a primary point of contact for clients, addressing inquiries, scheduling appointments, and providing updates on project status.
- Assist clients with product selection, offering guidance and recommendations based on their preferences and budgetary constraints.
- Communicate effectively with clients to gather feedback, resolve issues, and ensure satisfaction throughout the project lifecycle.
- **Data Management**:
- Maintain and update customer databases, ensuring accuracy and completeness of client information.
- Compile and analyze data related to sales, inventory, and project metrics, generating reports for management review.
- **Quality Assurance**:
- Conduct quality checks on products and materials to ensure adherence to design specifications and industry standards.
- Assist in the resolution of quality issues, coordinating with relevant stakeholders to implement corrective actions and prevent recurrence.
**Qualifications**:
- Bachelor's degree in Business Administration, Interior Design, or related field.
- Proven experience (X years) in back office operations, preferably in the interior design or home furnishings industry.
- Proficiency in MS Office suite (Word, Excel, PowerPoint) and experience with ERP or CRM software.
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both written and verbal, with a customer-focused approach.
- Detail-oriented mindset with a commitment to accuracy and quality.
**Preferred Qualifications**:
- Knowledge of interior design principles, materials, and finishes.
- Experience with CAD software or other design tools.
- Familiarity with procurement processes and vendor management.
- Ability to adapt to a fast-paced, deadline-driven environment.
