Position: Office Coordinator
Role Overview:
The Office Coordinator plays a vital role in ensuring the smooth functioning of the office operations. This position involves managing administrative tasks, coordinating office activities, and providing support to various departments. The Office Coordinator will be responsible for maintaining an organized and efficient office environment.
**Responsibilities**:
General Administration:
Manage office supplies, equipment, and inventory levels, ensuring availability of necessary items.
Coordinate with vendors and service providers for office maintenance, repairs, and supplies.
Handle incoming and outgoing mail, packages, and correspondence.
Maintain and update office records, files, and databases.
Assist with budget tracking and expense management.
Reception and Communication:
Greet and assist visitors, providing them with necessary information and directing them to appropriate contacts or departments.
Answer and direct incoming calls, taking messages and transferring calls as required.
Manage the scheduling and coordination of meetings, conferences, and appointments.
Draft, proofread, and distribute internal communications, memos, and announcements.
Travel and Logistics:
Coordinate travel arrangements, including flights, accommodations, and transportation for employees or visiting guests.
Arrange for meeting room bookings, audiovisual equipment, and other logistics for events or conferences.
Assist with organizing company events, including coordinating catering, venue setup, and attendee logistics.
HR and Employee Support:
Assist with on boarding processes for new hires, including paperwork, orientation, and workspace setup.
Maintain employee records and databases, ensuring accuracy and confidentiality.
Support HR department in coordinating employee engagement activities and initiatives.
Office Maintenance and Safety:
Ensure the office premises are clean, organized, and presentable.
Coordinate with facilities management for repairs, maintenance, and security systems.
Implement and enforce health and safety protocols, including emergency procedures and evacuation plans.
**Requirements**:
High school diploma or equivalent; additional education or certification in office administration is a plus.
Proven experience in office coordination or administrative support roles.
Strong organizational and multitasking skills with the ability to prioritize tasks.
Excellent written and verbal communication skills.
Proficient in using office productivity software (e.g., MS Office, Google Suite).
Attention to detail and problem-solving abilities.
Professional and friendly demeanor with excellent interpersonal skills.
Ability to work independently and collaboratively in a fast-paced environment.

Pay: ₹20,000.00 - ₹30,000.00 per month
