**Position Title**: Purchase and Documentation Executive

The Purchase and Documentation Executive is responsible for managing the procurement of goods and services, ensuring all purchases meet the company's standards and budget. The role involves maintaining accurate records, ensuring compliance with company policies and legal regulations, and coordinating with vendors and internal departments to ensure the timely delivery of materials.

Key Responsibilities:

- **Procurement Management**:

- Source and negotiate with suppliers to achieve the best possible terms.
- Prepare and process purchase orders in accordance with company policies and procedures.
- Monitor and maintain inventory levels, placing orders as needed to ensure continuous supply.
- **Documentation and Record Keeping**:

- Maintain accurate and up-to-date procurement records, including purchase orders, invoices, and delivery notes.
- Ensure all documentation complies with company policies and legal requirements.
- Prepare reports on procurement activities, including cost analysis and supplier performance evaluations.
- **Vendor Relations**:

- Develop and maintain strong relationships with suppliers to ensure quality and timely delivery of goods and services.
- Evaluate and select suppliers based on price, quality, and delivery speed.
- Handle vendor inquiries and resolve any issues related to orders, deliveries, or payments.
- **Compliance and Risk Management**:

- Ensure all purchases comply with relevant regulations and standards.
- Identify potential risks in the supply chain and develop strategies to mitigate them.
- Conduct regular audits of procurement activities to ensure adherence to policies and procedures.
- **Coordination and Communication**:

- Collaborate with various departments to understand their procurement needs and requirements.
- Coordinate with logistics and warehouse teams to ensure timely receipt and distribution of goods.
- Communicate effectively with internal stakeholders regarding the status of orders and deliveries.
- **Continuous Improvement**:

- Identify opportunities for cost savings and process improvements within the procurement function.
- Stay updated with industry trends and best practices in procurement and supply chain management.
- Implement new strategies and technologies to streamline procurement processes.

Qualifications:

- **Education**: Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
- **Experience**: Minimum of 3 years of experience in procurement, purchasing, or supply chain management.
- **Skills**:

- Strong negotiation and communication skills.
- Excellent organizational and time-management abilities.
- Proficiency in procurement software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to analyze data and make informed decisions.
- Attention to detail and accuracy in record-keeping.

Pay: ₹15,000.00 - ₹25,000.00 per month
