**Key Responsibilities**:
**Customer Service**:
- Greet and welcome visitors, clients, and employees with a friendly and professional demeanor.
- Answer and direct incoming phone calls promptly and courteously.
- Respond to inquiries and provide accurate information or route calls to the appropriate personnel.
**Administrative Support**:
- Manage the reception area, ensuring it is clean, organized, and presentable.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain and update contact lists, ensuring accuracy and completeness.
**Appointment Scheduling**:
- Schedule and coordinate appointments, meetings, and conference room reservations.
- Communicate effectively with team members to ensure smooth scheduling and avoid conflicts.
**Documentation and Record Keeping**:
- Maintain and update office records, including visitor logs and employee directories.
- Assist with data entry tasks and ensure accuracy in record-keeping.
**Communication**:
- Relay important messages to relevant personnel in a timely manner.
- Collaborate with other departments to facilitate effective communication within the organization.
- **Problem Resolution**:
- Address and resolve routine issues and inquiries, escalating more complex matters to the appropriate department.
**Qualifications**:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience in a front office, reception, or customer service role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
