**POSITION OVERVIEW**
We seek a diligent and organised **Accounting and Administration Assistant** to support our finance team and assist with office administration. This role primarily focuses on managing accounting processes while also contributing to the smooth operation of our campus. Key responsibilities include overseeing payment processes, preparing expense reports, entering financial transactions, and supporting vendor and procurement management.
Your work will play a crucial role in ensuring transparency and efficiency across our accounting and administrative functions.
**NATURE OF ASSOCIATION**:Full-time in-office position.
**KEY RESPONSIBILITIES**
**ACCOUNTING**
**Payment Processing**
- Process payments, including payroll.
- Issue invoices to clients and external partners as needed.
**Expense Management**
- Prepare and update expense reports.
- Record financial transactions in internal databases.
- Ensure accuracy in financial spreadsheets.
**Reconciliation**
- Reconcile invoices and identify discrepancies.
- Maintain and reconcile sales and purchase ledgers.
- Reconcile GST invoices.
**Record Keeping**
- Maintain digital and physical financial records.
- Maintain the Fixed Asset Register.
**Auditing**
- Participate in quarterly and annual audits.
**ADMINISTRATION**
- Facilities Management_
- Assist the Facilities Manager in maintaining the campus.
- Procurement and Vendor Management_
- Manage procurement for program and administrative needs.
- Coordinate with vendors to procure goods and services.
- Travel and Logistics Management_
- Arrange travel logistics for staff.
- Event Management_
- Assist in organising internal and external events, including venue selection, logistics, and materials procurement.
- Pantry Management_
- Ensure the pantry is well-stocked.
**QUALIFICATIONS**
- 3+ years of experience in Accounting in an educational setting
- Familiarity with financial regulations.
- Strong math skills and an eye for numerical accuracy.
- Proficiency in MS Excel and accounting software (e.g., Tally, Zoho Books).
- Strong organisational skills.
- A high degree of accuracy and attention to detail.
- Ability to handle sensitive, confidential information.
- Bachelor’s degree in Accounting, Finance, or a related field.
- Proficiency in English and MS Office.
