Documentation Officer

**Key Responsibilities**:
- **Document Management**:
- Oversee the collection, organization, and maintenance of all documents related to real estate transactions, including contracts, agreements, deeds, and other legal documents.
- Ensure that all documentation is accurate, complete, and compliant with regulatory requirements and company policies.
- Develop and implement efficient systems for document storage, retrieval, and tracking to streamline processes and enhance productivity.
- **Transaction Support**:
- Collaborate with real estate agents, brokers, and other team members to facilitate the preparation and execution of transaction documents.
- Assist in the coordination of closing activities, including scheduling appointments, coordinating signings, and preparing closing packages.
- Provide administrative support as needed to ensure smooth and timely completion of transactions.
- **Compliance and Risk Management**:
- Stay informed about industry regulations, standards, and best practices related to document management and real estate transactions.
- Conduct regular audits and quality checks to ensure compliance with legal and regulatory requirements and identify areas for improvement.
- Implement measures to mitigate risks associated with document errors, omissions, or discrepancies.
- **Communication and Collaboration**:
- Communicate effectively with internal stakeholders, external parties, and clients to address document-related inquiries, requests, and issues.
- Foster positive relationships with vendors, title companies, attorneys, and other third parties involved in the transaction process.
- Collaborate with colleagues to support team goals and initiatives, contributing to a cohesive and efficient work environment.
**Qualifications**:
- Bachelor's degree in Business Administration, Real Estate, or related field preferred.
- Previous experience in document management, administration, or real estate transactions is highly desirable.
- Strong attention to detail and accuracy, with the ability to maintain confidentiality and handle sensitive information.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Proficiency in Microsoft Office Suite and document management software.
- Strong communication and interpersonal skills, with the ability to collaborate effectively in a team environment.
- Knowledge of real estate laws, regulations, and practices is a plus.
