**Position**: Front Office Executive
**Purpose**: To serve as the primary point of contact for visitors, clients, and employees, providing excellent customer service and administrative support.
**Responsibilities**:
- **Reception Duties**: Greet and welcome visitors, answering any inquiries or directing them to the appropriate personnel.
- **Telephone Management**: Handle incoming and outgoing calls professionally, transferring calls or taking messages as needed.
- **Administrative Support**: Provide administrative support to the front office team, including filing, data entry, and maintaining office supplies.
- **Appointment Scheduling**: Coordinate and schedule appointments for staff members.
- **Visitor Management**: Maintain a visitor log and ensure that all visitors are properly signed in and out.
- **Mail Handling**: Sort and distribute incoming and outgoing mail.
- **Office Maintenance**: Assist with maintaining a clean and organized front office area.
- **Customer Service**: Provide exceptional customer service to all visitors, ensuring their needs are met in a timely and professional manner.
- **Team Collaboration**: Work effectively as part of a team to support the overall operations of the organization.
**Qualifications**:
- Excellent customer service skills
- Strong communication and interpersonal skills
- Proficiency in using office software (e.g., Microsoft Office)
- Ability to multitask and prioritize tasks effectively
- Professional appearance and demeanor
- Previous experience in a front office or administrative role is preferred
