Job Summary
This position involves handling incoming phone calls, managing appointments, and supporting various administrative tasks to ensure smooth office operations.
Key Responsibilities
- Greet and welcome visitors in a warm, courteous, and professional manner.
- Answer, screen, and forward incoming phone calls to the appropriate personnel.
- Maintain visitor logs and issue visitor badges when necessary.
- Manage appointments, meetings, and conference room schedules.
- Receive and distribute mail, packages, and deliveries.
- Assist with basic administrative duties such as filing, photocopying, and data entry.
- Maintain the cleanliness and organization of the reception area.
- Provide general information to visitors and callers regarding the company’s services, products, or procedures.
- Handle inquiries and complaints promptly and professionally, escalating to the appropriate department when necessary.
- Assist with event planning and office coordination tasks when required.
- Monitor and maintain office supplies, placing orders when necessary.
Qualifications and Skills:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Proven experience as a receptionist, front desk representative, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication and interpersonal skills.
- Ability to handle multiple tasks simultaneously with attention to detail.
- Ability to maintain confidentiality and discretion in all tasks.
