Leasing Documentation Executive
Property and Asset Management
What this job involves
Responsible for 360 degrees’ coordination with Tenants and internal departments. Assist with documentation, operations and ensure smooth leasing process while adhering SOP’s. Support Leasing team and HOD with required data, coordination and execution as per the circumstantial requirement.
**Your key deliverables will be to**:
Planning and implementing the tenancy mix in a retail mall.
Responsible for handling all lease documentation and tenant management.
Prepared and filed legal notices for evictions.
Met with a diverse group of prospective tenants to show vacant area/ leasing property.
Identify, qualify, originate and negotiate terms and conditions of new and renewal lease agreement.
Work alongside with Legal, Finance, Operations and Marketing
Exercise foresight in evaluating leasing situations and predetermining alternate course of action
Coordinated tenant move-ins, move-outs, and walk-through of spaces.
Establish and maintain good landlord-tenant relationships.
Acts as the first point of contact for tenant documentation, requests and issues.
Responsible for issuing and obtaining approvals for induction of tenant in Malls.
Must diligently support and maintain good working relationships with tenants.
Assist leasing team for agreement execution, renewals as per SOP’s.
Assists property management with day-to-day operation of the property in accordance with policies/procedures and client needs.
Responsible for obtaining tenant and vendor licenses, certificates. Maintaining like tenant contact list, emergency contact lists and maintaining other records and files pertinent to tenants and vendors
Assists other tenant charges in compliance with lease agreements.
Assists with general administrative tasks as assigned including filing, answering phones, distribution of mail, written correspondence specially to tenants.
Other assigned duties may include coordination of retention of forms and certificates.
Resourceful and has the ability to work well with landlord and tenants
Good proficiency in MS office
**Reporting**:
You will be working with LTMRHL leasing / operations team and reporting to the HOD. Attendance will be approved by your JLL reporting Manager.

Being Analytical and Meticulous
Your role will involve coordination with various teams. You will be paying attention to detail and have excellent problem-solving skills. You will be effectively communicating the grievances of Tenants / agreement related queries, renewal pf agreement and ensure timely solution. You should have a good problem-solving skills.
**Qualifications**:
You will have a Degree / Diploma/ MBA OR any equivalent, with min 2-3 years of work experience in Retail/ Real Estate/ Hotel or Construction Industry.
Knowledge of retail market, contract law, knowledge of technical knowledge fit-out.
Strong verbal and written communication and negotiation skills
Strong report writing and presentation skills
Demonstrated supervisory and mentoring skills
Advance Ms. Word/Excel and PPT
A strong leader and team player
Be self-motivated and performance focused, work independently and under pressure
High commitment and reliability.
Flexible and energetic and challenging
Degree in Management, Economic, Sales & Marketing or equivalent.
