Position: Personal Secretary to Managing Director

Location: Mumbai, India
**Job Description**:
As a Personal Secretary to the Managing Director of our Logistics Company based in Mumbai, you will be responsible for providing comprehensive administrative and secretarial support to ensure the smooth operation of the Managing Director's office. Your primary duties will include:
- Calendar Management:
- Efficiently manage the Managing Director's schedule, including arranging appointments, meetings, and travel arrangements.
- Prioritize and schedule meetings, ensuring optimal use of the Managing Director's time.
- Correspondence and Communication:
- Draft and prepare official letters, memos, and reports on behalf of the Managing Director.
- Coordinate communication between the Managing Director and internal/external stakeholders.
- Documentation and Filing:
- Maintain and organize physical and electronic files, ensuring easy retrieval of documents as needed.
- Assist in the preparation of presentations, reports, and other documentation as required.
- Meeting Support:
- Prepare agendas, attend meetings, and take accurate minutes.
- Follow up on action items and ensure timely completion of tasks.
- Travel Arrangements:
- Coordinate travel itineraries, including flights, accommodations, and transportation.
- Ensure all travel arrangements are made efficiently and within budget.
- Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion.
- Miscellaneous Tasks:
- Assist in special projects and assignments as requested by the Managing Director.
- Perform general administrative tasks to support the efficient functioning of the office.
**Requirements**:
- Bachelor's degree in Business Administration, Secretarial Studies, or related field preferred.
- Proven experience as a Personal Secretary or Executive Assistant, preferably supporting top-level executives.
- Excellent organizational and time management skills.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- High level of professionalism and discretion.
- Familiarity with logistics industry practices and terminology is a plus.
