**Job Title: Personal Assistant (Executive Secretary)**
**Location**: [Chennai]
**Position Type**: [Full-Time]
**Role Overview**: The Personal Assistant (Executive Secretary) will be responsible for providing high-level administrative support to executives, managing schedules, coordinating meetings, and handling various tasks to ensure the efficiency and effectiveness of executive operations.
**Key Responsibilities**:
- **Calendar Management**: Organize and manage executive calendars, scheduling appointments, meetings, and events, and ensuring timely reminders.
- **Meeting Coordination**: Arrange meetings, including logistics, preparation of agendas, and distribution of materials. Take minutes and follow up on action items as required.
- **Travel Arrangements**: Plan and coordinate travel arrangements, including flights, accommodations, and transportation, and prepare detailed itineraries.
- **Document Management**: Prepare and edit documents, reports, and presentations. Maintain organized records and files.
- **Project Support**: Assist with special projects and tasks as assigned by executives, providing research, analysis, and support as needed.
- **Office Management**: Oversee office supplies, equipment, and services, ensuring the office environment is well-maintained and efficient.
- **Confidentiality**: Handle sensitive information with the utmost confidentiality and integrity.
**Qualifications**:
- **Education**: Associate’s or Bachelor’s degree in Business Administration, Secretarial Studies, or a related field is preferred.
- **Experience**: Minimum 5 of years of experience as a Personal Assistant, Executive Secretary, or in a similar administrative support role.
- **Skills**: Exceptional organizational and time-management skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- **Communication**: Excellent verbal and written communication skills with a professional level.
- **Attention to Detail**: Strong attention to detail and accuracy in handling tasks and managing schedules.
- **Problem-Solving**: Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- **Confidentiality**: Proven ability to manage confidential information with discretion.
