Personal Secretary

Job Description:
- As a Personal Secretary, you will play a pivotal role in providing high-level administrative support to a
senior executive or business leader. Your responsibilities will include managing schedules, handling
correspondence, coordinating meetings, and ensuring seamless communication between the executive
and various stakeholders. Discretion, organization, and strong interpersonal skills are crucial for success
in this role.
Key Responsibilities:
1. Calendar Management:
- Schedule and organize appointments, meetings, and conferences for the executive.
- Prioritize and manage the executive's calendar efficiently, considering business priorities
and personal commitments.
2. Communication Management:

- Draft and edit correspondence, documents, and presentations as needed.
3. Travel Arrangements:
- Coordinate domestic and international travel arrangements, including flight bookings,
accommodation, and transportation.
- Prepare detailed itineraries for business trips.
4. Meeting Coordination:
- Arrange and coordinate meetings, both internal and external.
- Prepare meeting agendas, documents, and take minutes when necessary.
5. Confidentiality:
- Handle sensitive and confidential information with discretion and professionalism.
- Maintain confidentiality in all interactions and communications.
6. Office Organization:
- Maintain an organized and efficient office environment.
- Manage filing systems, document storage, and ensure timely retrieval of information.
7. Stakeholder Liaison:
- Act as a liaison between the executive and internal/external stakeholders.
- Facilitate effective communication and collaboration.
8. Task Prioritization:
- Prioritize and manage multiple tasks simultaneously.
- Anticipate and proactively address the needs of the executive.
9. Event Planning:
- Assist in planning and coordinating company events, conferences, and other gatherings.
- Manage invitations, RSVPs, and logistics.
10. Expense Management:
- Prepare and process expense reports in a timely manner.
- Track and reconcile expenses against budget.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.
- Proven experience as a Personal Secretary or Executive Assistant.
- Experience required 5 to 7 years.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficient in office productivity tools such as Microsoft Office.
- Discretion and the ability to handle confidential information.
- Detail-oriented with a high level of accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
**Salary**: ₹30,000.00 - ₹45,000.00 per month
