**Tender Executive - Solar EPC**

**Job Type**:Ful LPA - 7LPA**

**Reporting To: Business Development Manager**

**Job Overview**:The Tender Executive in a Solar EPC company plays a critical role in assisting with the entire tendering process, specifically for e-bidding on plaƞorms like GeM (Government e-Marketplace), and other government and private tender portals. The Tender Executive is responsible for the identification, preparation, and submission of tenders and bids, while ensuring compliance with all requirements.

**Key Responsibilities**:
**1. Tender Identification & Monitoring**:Regularly monitor and track tender opportunities on GeM portals and other government e-bidding plaƞorms.

Identify new tenders for solar EPC projects (including rooŌop and ground-mounted PV systems).

Stay updated on changes in government policies, notifications, and rules related to renewable energy tenders.

**2. Bid Preparation**: Analyze tender documents, RFPs, and RFQs to understand project specifications and requirements.

Assist in preparing both technical and commercial bids in coordination with engineering, procurement, and finance teams.

Review the bid terms and ensure all submissions are in compliance with tender requirements. o Prepare pre-bid queries and clarifications to be submiƩed to the tendering authority.

**3. E-Bidding & Portal Management**: Manage tender submissions on e-bidding portals such as GeM, NIC, and other online tendering plaƞorms.

Ensure all necessary documentation is uploaded accurately and timely on e-portals. o Keep track of bid submission deadlines, updates, and any changes in tender condiƟons or schedules.

**4. Vendor Registration & Compliance**:Handle vendor registrations and ensure the company is pre-qualified to participate in tenders by completing necessary formalities.

Maintain updated documentation required for tenders (e.g., financial records, legal compliance, certifications, etc.).

**5. Coordination with Stakeholders**: Work closely with cross-functional teams such as engineering, procurement, legal, and finance to gather inputs for bid proposals.

Assist in liaising with clients and external stakeholders to clarify bid requirements and resolve pre-bid or post-bid issues.

Attend pre-bid meetings, webinars, or online discussions as required.

**6. Costing & Documentation**: Assist in developing project cost estimates and compiling commercial proposals under the guidance of senior team members.

Prepare and maintain documentation for all tender submissions and ensure accurate record-keeping.

Draft standard letters, forms, and other necessary documentation for tender participation.

**7. Post-Tender Follow-Up**: Track and follow up on the status of submiƩed tenders and coordinate with authorities for updates.

Help prepare for post-bid clarifications or negotiations with clients.

**8. Market Research**:
Conduct research on competitors, market trends, and pricing structures for EPC projects.

Stay informed about the latest developments in solar energy policies and government initiatives affecting the renewable energy sector.

**Skills & Qualifications**: Educational Background: o Bachelor’s degree in Engineering, Business Administration, or a related field. o Diploma or certification in e-tendering processes or procurement systems is a plus.

**Experience**:2-4 years of experience in tendering or bid management, preferably in the solar energy or renewable energy sector.

Proven experience in handling GeM portal and other government e-bidding plaƞorms is highly desirable.

**Technical Skills**: Proficiency in GeM Portal, NIC e-procurement portal, and other e-bidding plaƞorms. o Strong understanding of solar EPC projects and the key components involved (solar panels, inverters, balance of system, etc.).

Experience with MS Office Suite (Excel, Word, PowerPoint) and basic knowledge of project management soŌware.

**Soft Skills**: Excellent attention to detail and organizational skills.

Strong writen and verbal communication skills.

Ability to work in a fast-paced environment and handle multiple tenders simultaneously. o Good analytical and problem-solving skills.

**Other Skills**:
Knowledge of government regulations and policies related to solar energy projects.

Familiarity with financial and contractual terms used in tenders.
