Job Title:
Administrator - Procurement Support

Summary:
The PS Administrator will be responsible for actively working with external suppliers for Order acknowledgements and timely delivery of the products and services for Indirect Material orders from Europe entity. This position also must coordinate with internal customers, commodity managers & Europe Accounts Payables team for performing purchase order revisions for timely payments to suppliers. He/she will also actively participate in projects resulting in standardization & waste elimination from the purchasing process.

Responsibilities Include:
Primary Responsibilities:
Order Confirmations
- Review Purchase Orders (PO’s) to ensure timely receipt of order confirmation for all Europe Plants
- Educate the suppliers on Ariba integration.
- Handling day to day queries received from suppliers and internal business users related to purchase orders.
- Follow up with suppliers for missing order confirmations.
- Update PO’s documenting confirmation of receipt of order, price, and delivery date
- Escalate vendor inquiries to Plant Buyer for resolution relating to price or part discrepancy, payment terms, etc.

Purchasing Data Maintenance
- Support closure of PO’s as assigned and/or as per request of business user.
- Maintain Vendor Information: Work with Vendor Master Data team to update Vendor Master profile for vendor data accuracy and create new Vendor if required.

Other Responsibilities
- Ariba Support - Supplier onboarding & training, screening & actioning failed Ariba PO’s and Ariba Catalog Orders
- Work with MRO Buyer and/or Commodity Manager as well as AP Team to resolve pricing discrepancy.
- Preparing reports/dashboards to track order confirmation and other KPI’s as assigned by manager.

Continuous Improvement Initiatives:

- Actively pursue continuous improvement opportunities resulting in improved data management and efficient purchasing process.

Qualifications:
The following are _required _for the role
- Bachelor’s degree in commerce (B. Com) or similar
- 1-3 years’ experience in Procurement domain.
- Fluency in English & German mandatory, with excellent written and verbal communication skills.
- Experience using SAP.
- Good communication skills
- Analytics experience in Tableau is a plus along with excel reporting experience.
