**Position: Office Assistant**
**Job Summary**:
As an Office Assistant at Mikara Organic Farms Pvt. Ltd., you will play a vital role in ensuring the efficient day-to-day operations of our office. Reporting to the Office Manager, you will be responsible for handling various administrative tasks and providing support to different departments. Your proactive approach, strong organizational skills, and excellent communication abilities will be instrumental in contributing to our mission-driven company.
**Responsibilities**:
1. Greet visitors and clients in a friendly and professional manner, providing them with a warm welcome to the office.
2. Answer and manage incoming calls, taking messages, and directing calls to the appropriate staff members.
3. Handle incoming and outgoing mail and packages, ensuring prompt distribution to the relevant recipients.
4. Maintain the office's cleanliness and organization, including managing office supplies and restocking as needed.
5. Assist in scheduling appointments and maintaining the office calendar to coordinate meetings and events.
6. Provide administrative support to various departments, including filing documents, data entry, and record-keeping.
7. Assist in preparing documents, reports, and presentations, ensuring accuracy and adherence to company standards.
8. Help with basic accounting tasks, such as processing invoices and receipts, under the guidance of the Finance team.
9. Manage travel arrangements and accommodations for employees as required.
10. Collaborate with HR to facilitate employee onboarding, maintain employee records, and assist with HR-related tasks.
11. Support the Office Manager in organizing company events, meetings, and training sessions.
12. Handle office-related errands, such as banking tasks or document deliveries, as necessary.
13. Maintain office security by following safety procedures and controlling access to the premises.
14. Uphold confidentiality and discretion while dealing with sensitive company information.
**Requirements**:
1. High school diploma or equivalent; additional education or relevant certifications are a plus.
2. Proven experience as an Office Assistant, Administrative Assistant, or in a similar role.
3. Proficiency in using office software (e.g., Microsoft Office Suite) and office equipment (printers, scanners, etc.).
4. Excellent verbal and written communication skills.
5. Strong organizational and time management abilities, with a keen eye for detail.
6. Ability to multitask and prioritize tasks effectively in a dynamic work environment.
7. Friendly and professional demeanor with excellent interpersonal skills.
8. Ability to work both independently and collaboratively within a team.
9. A positive attitude and willingness to take on additional responsibilities when needed.
