**Job Overview**

We are seeking an experienced Business Secretary for a business group dealing in Premium Real Estate development, Hospitality, Agro-farming, FMCG, amongst others. The Business secretary will work closely with the owners or senior to provide logístical, administrative and business support, usually on a one-to-one basis. The role enables the best use of the Leadership time by dealing with secretarial and administrative tasks. The role requires to understand and build extensive knowledge of the organisation, businesses that exist or to launch.

**Role Responsibilities**:
**Management Support**
- Staying aligned to the Chairman & Business goals and doing all in capacity to help progress these goals.
- Managing diaries and organising meetings and appointments, often controlling access to the Chairman/management.
- Managing all travel and logistics for management and employees, including Visas, ticketing and other travel related tasks.
- Researching as required on business interests of Management to narrow down/ bring the right and filtered information in.
- Organising events and meetings required by the business.
- Being a brand ambassador for the business, using opportunities of every interaction outside of the company to project the Company brand. Partner with internal teams on same.
- Actively supporting & representing on Corporate Social Responsibilities of the Company
- Maintaining client/ important partner information & managing relations.
- Liaising with staff, clients and suppliers/ vendors.
- Collating and filing management and employee expenses, working with accounts for records.
- miscellaneous tasks to support the Chairman/ management, eg completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting needed research.

**Employee Support**:

- Employee personnel filing, database & maintenance (leave records/ employee details etc).
- Supporting in screening CVs, understanding role profiles and supporting the hiring.
- Preparing & discussing work contracts.
- Privy to employee sensitive information including performance concerns or discipline.
- Support to management in investing in employees in terms of recreation, paperwork, coordinating training, etc.
- When required supervise/ manage the office peon.

**Research & Business Support**:

- Relevant research, screening of information relevant to existing business or launches.
- End to end coordinating with the team on some of the launches, including contributing to the research required.
- Create through presentations using Microsoft/ Canva
- Conduct primary and secondary research as required, engaging with the Business Development team as needed.

**Administrative Support**:

- Implementing and maintaining procedures/administrative systems
- Create & manage an office supply for stationary and other inventory
- Setting up Standard Operating Procedures (SOP) for smooth functioning of day-to-day operations, record keeping etc.
- Filing systems for business paperwork filing like Land deals/ Client Sale deeds, permissions, licenses etc
- Audits of restaurants and cafes to ensure hygiene, health, and other disciplines are in place.
- Maintaining a strong connect with these employees too and other site key personnel.

**Job Requirements**
- Graduate or Bachelors degree in Business, Marketing or equivalent.
- 5 + years of experience in similar role preferably in real estate business.
- Extremely high maturity & discretion in dealing with Management/ management matters.
- Highest level of integrity and Long-term commitment to the role.
- Discretion and trustworthiness
- the individual will often be party of confidential information.
- Attention to detail and very high work ethics.
- Exceptional Listening, Communication and Interpersonal Skills.
- Result orientation and highly positive attitude.
- Organizational Skills & multi-tasking.
- Intuitive skillset to handle high profile management, in sometimes a stressful environment.
- Microsoft efficient.
- Role may require travel domestic.
