**Job Summary**:
**Responsibilities**:
- **Front Desk Management**:
- Greet and welcome visitors in a professional manner.
- Answer, screen, and forward incoming phone calls.
- Handle inquiries and provide accurate information.
- Manage the reception area, ensuring cleanliness and organization.
- **Administrative Support**:
- Assist in scheduling appointments and meetings.
- Maintain office calendars and schedule conference rooms.
- Coordinate travel arrangements and accommodations for staff, if necessary.
- Prepare and distribute correspondence, memos, letters, and forms.
- Maintain filing systems, both electronic and physical.
- Assist in ordering office supplies and maintaining inventory.
- **Document Management**:
- Organize and maintain documents, both physical and electronic.
- Scan, photocopy, and file documents as needed.
- Ensure proper storage and confidentiality of sensitive information.
- **Visitor Management**:
- Monitor visitor access and issue visitor badges when required.
- Direct visitors to the appropriate person or department.
- Maintain security by following procedures and controlling access.
- **Assistance to Management**:
- Provide administrative support to senior management as needed.
- Prepare reports, presentations, and spreadsheets.
- Assist in special projects and events as assigned.
**Requirements**:
- Proven work experience as a Receptionist or similar role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both verbal and written.
- Strong organizational skills with the ability to multitask.
- Professional appearance and demeanor.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Diploma or degree in Business Administration or related field is a plus.
