**Position Title**: Front Desk Receptionist

**Department**: Administrative

**Position Overview**:The Front Desk Receptionist is the initial point of contact for visitors, clients, and employees. This role involves welcoming and assisting visitors, managing incoming calls, scheduling appointments, and providing administrative support to ensure smooth front office operations. The Front Desk Receptionist plays a crucial role in creating a positive and professional impression of the organization. **Key Responsiblities:

- ** **Greeting and Welcome**:Welcome visitors and clients with a friendly and professional demeanor.
Provide a warm and hospitable first impression of the organization.

**Phone Management**:Answer incoming calls promptly and transfer them to the appropriate individuals.
Take accurate messages and relay them to the relevant personnel.

**Appointment Scheduling**:Schedule appointments, meetings, and conference room reservations as requested.
Notify employees of upcoming appointments and ensure proper preparations are made.

**Visitor Management**:Register and sign in visitors, issue visitor badges, and maintain visitor logs.
Ensure compliance with security procedures and direct visitors to their destinations.

**Administrative Support**:Assist with administrative tasks, including data entry, filing, and document organization.
Handle incoming and outgoing mail, packages, and deliveries.

**Inquiries and Information**:Respond to inquiries from visitors and callers, providing accurate information.
Maintain knowledge of the organization's services, products, and activities.

**Problem Resolution**:Address minor concerns and issues raised by visitors, clients, and employees.
Escalate significant problems to the appropriate personnel for resolution.

**Office Appearance**:Maintain a tidy and organized reception area, ensuring it reflects a professional image.
Keep reading materials and informational brochures updated and accessible. **Qualifications and Skills**:

- High school diploma or equivalent.
- Strong interpersonal and communication skills.
- Proficient in using basic office software (e.g., Microsoft Office).
- Professional appearance and courteous demeanor.
- Organized and capable of multitasking.
- Problem-solving abilities and composure under pressure.
- Previous customer service or receptionist experience is a plus.
